Overview:
The Front Desk Coordinator shall make sure that all customers and visitors, by telephone or on-site contact, receive prompt, professional and courteous treatment, thereby leaving a first and lasting positive impression of our organization.
Additionally, the Front Desk Coordinator has the responsibility on handling non-inventory accounts payables in a timely and accurate manner.

Responsibilities:

  • Meets regular and reliable work-site attendance requirements.
  • Front Desk Coordinator is expected to have the switchboard open and operating, promptly at 7:55am and throughout the day until 5:00pm. (Relief switchboard coverage will be provided for a one-hour lunch)
  • As the first point of contact, Front Desk Coordinators should prioritize a neat business causal appearance that reflects the company image.
  • Maintains reception area so that it always appears clean, neat and hospitable.
  • Greets callers at the door in a manner that is prompt, professional and courteous.
  • Operates telephone and voice mail system to receive incoming messages in a prompt, professional, and courteous manner.
  • Prepares items for mailing using the postage meter.
  • Sorts mail daily.
  • Collects and distributes mail and messages.
  • Performs variety of clerical duties.
  • Oversees use of postage meter to assure it is in working order.
  • Process daily invoices to be sent EDI or Email.
  • Coordinating of lunch orders for managers.
  • Maintain schedule / Calendar for company pool cars.
  • Ording of all office supplies for front office and snacks for canteen area.
  • Ordering of all Business Cards for new and existing employees.
  • Back-up for Accounts Receivable.
  • Oversees all wires; ACH’s and desktop deposits are posted daily by accounting personnel. Provides answers to all questions raised by accounting personnel regarding the posting of deposits.
  • Researches all payments with differences. Contact customers and resolves open issues.
  • Monitors Credit Blocked Orders and releases upon established guidelines. Analyzes if customer credit limits need adjusting based on current buying patterns. Runs credit reports to assist in deciding if additional credit should be given.
  • Analyze, code and match monthly credit cards receipts.
  • Others may be assigned.

Requirements:
Associate’s degree (A. A.) or equivalent from two-year College or technical school; two years related experience and/or training in Accounts Receivable and/or Reception, or equivalent combination of education and experience.
