The primary role is to perform receptionist tasks, including answering phones, preparing outgoing mail, and assisting with office calendaring. Supervisory Responsibilities: None Essential Functions: Front Desk Duties and Responsibilities: Answers, screens, and directs calls on a multi-line phone system in a courteous and professional manner; takes messages and/or forwards telephone calls to the appropriate employee, or voicemail Clears messages each morning and delivers them to the appropriate employees Meets and greets all visitors; determines their needs and directs them to the appropriate employee/location Responds to visitors, clients, and employees in a courteous and professional manner Routes incoming mail Prepares and forwards outgoing mail and packages Composes and prepares routine correspondence as required Performs general clerical duties, including but not limited to filing, photocopying, faxing, and mailing as required Updates phone systems to correspond with each department upon employees joining and leaving the company Maintains the cleanliness of the employee breakroom in addition to keeping the coffee area and snacks stocked Keeps the coffee/beverage area in the main lobby stocked, in addition to stocking snacks and cookies Demonstrates a high level of professionalism in dealing with confidential and sensitive issues Always ensures that customers are being listened to, respected, and assisted Follows up with customers to ensure adequate service when addressing a specific issue Office Support Duties and Responsibilities: Organizes and maintains the file system, files, correspondence, and other records Orders and maintains supplies, arranges for equipment maintenance, and keeps the reception area organized Prepares and maintains conference rooms, reservations, and catering schedules; circulates schedule to appropriate staff, as needed Submit FOTF service/work orders Manages Lewan machine service calls and stock supplies near printers Updates phone systems to correspond with each department upon employees joining and leaving the company Performs other related duties as assigned by management Minimum Required Education/Credentials/Knowledge/Skills/Abilities: Education: High school diploma or GED Experience: Experience as a front desk receptionist or in an administrative role (strongly preferred) Excellent interpersonal and customer service skills Ability to understand and follow written and verbal instructions Ability to deal effectively with a diversity of individuals at all organizational levels Commitment to excellence and high standards Strong organizational skills; able to manage priorities and workflow Excellent communication, multitasking, and organizational skills An understanding of basic computer programs, including Microsoft Word, Excel, and Outlook Preferred Education/Credentials/Knowledge/Skills/Abilities: Excellent verbal communication skills Excellent organizational skills and attention to detail Ability to prioritize tasks Ability to function well in a high-paced and at times stressful environment Work Environment/Physical Requirements: Work Environment: Prolonged periods of sitting at a desk and working on a computer.
