Description

The Apollo Clinic, with busy multi-disciplinary practices in Abbotsford and Chilliwack, is looking for a full time Receptionist in Abbotsford. The position offers you the opportunity to be part of a dedicated team of healthcare practitioners and staff who are committed to providing exceptional patient care in the Fraser Valley. The positions require self-motivated, conscientious, bright individuals who will be eager to learn, work as dependable team players, and display a positive and supportive attitude at all times. We are looking for a receptionist to join our Abbotsford physiotherapy clinic. This position begins as part-time (20–30 hours per week), scheduled in 4-hour shifts, with the opportunity to grow into a full-time role as the clinic expands. You’ll work weekday shifts (morning, midday, or evening) and occasional Saturday mornings on rotation. Flexibility to cover for co-workers during vacations or illness is required.

REQUIREMENTS FOR THE POSITION:

  • Strong computer skills (preference will be given to those applicants who are already familiar with the Jane clinic software program)
  • Excellent spoken and written communication skills
  • Fluent in English and Punjabi is an asset
  • Previous experience dealing with the public (preference will be given to those applicants with prior reception / secretarial experience in a clinical setting)
  • A positive, accommodating attitude
  • A welcoming, cheerful, and supportive demeanor
  • A willingness to learn new skills on an ongoing basis
  • A willingness to commit to a long-term position (NOTE! Please do not apply for this position if you are only wanting temporary or summer employment.)

Responsibilities
  • Interacting with patients on the phone and in the clinic
  • Answering phone inquiries
  • Booking appointments
  • Taking payments
  • Submitting extended medical billings–Blue Cross and eHealth
  • Updating therapist schedules–break times, holidays, sick days, etc.
  • Emailing new referrals to ICBC adjusters
  • Calling ICBC for adjuster contact information for each patient
  • Answering in-clinic Skype messages
  • Calling late or “no show” patients
  • Checking phone messages and returning calls
  • Responding to therapists’ needs / requests
  • Cancelling and rescheduling appointments for therapists who are ill
  • Filling open spots with wait list appointments
  • Balancing end of day transactions
  • Fulfilling other general office duties as assigned
  • Covering shifts for colleagues who are absent due to vacations or illness
