    Reporting to the Director of Operations, the Front Desk Receptionist will serve a versatile role for the Operations team. We are currently seeking a Front Desk Receptionist to join our growing team in Wood Dale, IL.

THE ESSENTIAL REQUIREMENTS OF THE JOB INCLUDE:

  • Proven experience in a front desk, administrative support, or customer service role.
  • Strong communication and interpersonal skills, with the ability to interact professionally with visitors, clients, and colleagues at all levels.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to quickly learn other business systems.
  • Ability to manage a multi-line phone system and handle calls with professionalism.
  • Demonstrated reliability, discretion, and ability to maintain confidentiality.
  • Proactive problem-solving skills and the ability to remain calm and effective in emergency situations.
  • Strong sense of ownership and accountability for maintaining a welcoming, safe, and professional office environment.
  • Flexibility to take on ad hoc duties and support various teams as needed.

Responsibilities
  • Client Relations: Welcome visitors and guests with a warm and professional demeanor, ensuring they feel valued during their interactions with Videojet. Provide assistance and share information about the building’s facilities, services, and amenities.
  • Customer Care Liaison: Partner with our customer care team to communicate ship dates, and collaborate with team leads and buyer planners to gather updates on spare parts and equipment shipments.
  • Office Maintenance: Maintain a tidy, professional office environment. Ensure reception and shared spaces reflect Videojet’s high standards, and coordinate with vendors or internal teams on building maintenance needs.
  • Knowledge Resource: Stay informed on company policies, procedures, and personnel to accurately address questions from visitors and employees.
  • Security and Access Control: Manage the security badging system, working with building management to assign badges. Verify all visitor access, maintain logs, and ensure visitors are always accompanied by a Videojet employee.
  • Phone Operations: Handle a multi-line telephone system efficiently, maintain an updated staff directory, route calls to the appropriate contacts, and record clear, detailed messages when required.
  • Emergency Response: Follow established protocols calmly and effectively in the event of an emergency, including supporting evacuation procedures if needed.
  • Mail and Package Handling: Receive and sort incoming mail and packages, notify recipients promptly, and ensure accurate distribution.
  • Administrative Support: Provide general administrative support to the EA team and local associates, including filing, scheduling meetings, coordinating conference rooms, maintaining the office calendar, and handling other clerical tasks.
  • Other Duties: Perform additional ad hoc tasks as assigned to support the smooth operation of the office.
