About the role
We’re seeking a reliable, organized Front Desk & Safety Admin Clerk to run reception smoothly and support our Safety team. We value a friendly, hospitality mindset and strong attention to detail. We are willing to train accordingly—trucking experience is an asset, not required. This is a long-term on-site role at our South Surrey, 18242 – 8 Ave office.

What you’ll doFront desk & hospitality

  • Greet drivers, customers, and visitors; maintain a professional, welcoming reception.
  • Manage a multi-line phone system; route calls and take accurate messages.
  • Coordinate visitor sign-ins, courier/mail, meeting room bookings; keep lobby tidy.
  • Arrange refreshments (tea/coffee/water), ask for preferences, and order food for driver training sessions when needed.

Safety & administration

  • Perform daily driver log audits for accuracy and compliance.
  • Conduct fuel audits (match receipts/cards/usage to trips) and flag discrepancies.
  • Scan, label, and store safety documents (citations, inspections, MVIs, trip envelopes) in the correct digital folders.
  • Create and send letters per driver requirements (e.g., employment confirmations, policy acknowledgements, training notices) using approved templates and approvals.
  • Download and file monthly NSC reports; maintain up-to-date Safety binders/folders and digital archives.
  • Handle other safety-related filing and structured naming/saving on shared drives.
  • Assist Accounts (A/R & A/P) with basic tasks only if necessary (simple data entry, document matching).
  • Collaborate closely with dispatch, safety, and accounting—teamwork is essential.

What you bring

  • Friendly, service-first attitude and professional phone etiquette.
  • Strong attention to detail, confidentiality with HR/safety records, and reliable follow-through.
  • Comfortable with computers: scanning, file naming, shared drives, Microsoft Office/Google Workspace; accurate data entry.
  • Ability to prioritize and work with minimal supervision.
  • Able to reliably commute to our South Surrey, 18242 – 8 Ave - office during working hours.
  • Nice to have: Exposure to NSC/safety compliance, driver logs, or dispatch; additional languages (e.g., Punjabi/Hindi).

Schedule

  • Monday–Friday, 8-hour day shift (on-site, South Surrey, 18242 – 8 Ave).

Compensation

  • Pay based on experience (please include expectations with your application).
