Job Description Virtual Rockstar is hiring a full-time Front Desk Scheduler Virtual Assistant on behalf of a growing physical therapy practice to support patient scheduling, communication, and day-to-day front desk operations. This role is ideal for someone who is organized, proactive, and people-oriented, with strong communication skills and experience managing schedules in a medical setting. You will play a key role in ensuring a smooth and positive experience for patients while helping the clinic run efficiently. Key Responsibilities Scheduling & Calendar Management Manage and maintain the clinic’s appointment schedules Schedule new and returning patients efficiently Handle appointment confirmations, cancellations, and rescheduling Ensure schedules are optimized and appointment slots are filled Coordinate with providers to align availability and patient needs Patient Communication & Front Desk Support Answer inbound calls and respond to patient inquiries Communicate clearly and professionally with patients via phone and email Provide information about services, scheduling, and next steps Deliver a warm, friendly, and welcoming experience to all patients Administrative Support Maintain accurate patient records and scheduling information Assist with data entry and documentation as needed Collaborate with the admin team and physical therapists to support clinic operations Proactively identify and help resolve scheduling or workflow issues Tools & Systems Gmail Google Meet Google Drive Microsoft Excel / Google Sheets PROMPT EMR (preferred, but not required) Requirements Prior experience in scheduling within a medical or healthcare setting Excellent verbal and written English communication skills Strong phone presence—clear, confident, and professional Highly organized with strong attention to detail Proactive mindset with strong problem-solving skills Ability to work collaboratively with a remote team Positive, energetic, and team-oriented attitude Benefits Competitive salary commensurate with experience.
