Job Summary:
Essential Duties and Responsibilities:

As directed by the Clinic Director, duties may include:

  • Assist the ACD/CD in the daily operations of the clinic
  • Responsible for clinic operations in absence of the ACD/CD
  • Ensure front desk is tidy and has all necessary stationery and material
  • Ensure that admin staff are, at all times, attentive, friendly, helpful and courteous to all patients and other employees
  • Supports the ACD/CD in the hiring process of admin staff
  • Trains, Supervise and Supports the admin team
  • Schedules PCC Shifts, Monitor daily ADP time clock activity, review requests off & Approve PCC ADP timecards
  • Evaluates the job performance of each front office employee and reports back to the ACD/CD
  • Manage admin functions to ensure smooth and efficient clinic operations
  • Work with ACD/CD to grow and sustain clinic services
  • Supportive in assuring clinic performance goals are met
  • Facilities Management, Liaison with building maintenance an management
  • Troubleshoot emergencies and keeps CD informed
  • Ensure company’s policies and security requirements are met
  • Monitor all VIP and special guests
  • Support for daily, ER & AR reports
  • Oversee clinic operations account receivables/collections status reporting variances to ACD/CD as directed
  • Responsible for Daily PCC huddles
  • Managing patient schedules for maximization and blocks
  • Responsible for delegation of staff duties
  • Responsible for initial response to patient complaints and satisfaction as needed
  • Support the professional outreach in the clinic with patient referrals and event support
  • Responsible for maintaining a positive and professional attitude towards the mission of Amen Clinics Inc and the success of the clinic with a leader-role model attitude and behavior
  • Attends clinic/corporate meetings as requested by ACD/CD
  • May be used in special projects that are outside the day to day operations
  • Other duties as assigned

Interactions:

  • Interacts frequently with patients, clinic personnel and outside referral sources by telephone

correspondence and personal contact. Presents professionally to staff as a delegate of the Clinic Director and is seen as a leader of the organization.

Qualifications and Requirements:

  • Associate degree or equivalent experience of 2-4 years in a health care or clinic setting.
  • Excellent attitude and communication skills with the ability to multitask, prioritize, and think creatively required.

Knowledge and Skills and abilities:

  • Proficient with Microsoft Word, Excel, Access, Power Point, Outlook/Outlook Express, Internet
  • Excellent written and verbal communication skills
  • Ability to work independently and in a team environment
  • Communicates compassionately with patients and families
