Job Description:
As a Front of House Admin Assistant, you will be the face of our building. Your role will involve greeting and assisting visitors, managing the reception area, and providing administrative support to ensure the building operates seamlessly. You’ll be part of a dynamic team committed to delivering excellent service and creating a welcoming atmosphere for all.

Key Responsibilities:

  • Greet and assist visitors, tenants, and clients with a professional, friendly approach.
  • Answer and direct incoming phone calls, emails, and general inquiries.
  • Oversee the reception area, ensuring it remains clean, organized, and welcoming at all times.
  • Handle security protocols, including visitor check-in and access control.
  • Book and manage meeting room reservations and coordinate related services.
  • Manage incoming and outgoing mail, deliveries, and packages.
  • Provide administrative support to the building management team, including scheduling, data entry, and document management.
  • Maintain office supplies and place orders when needed.
  • Assist with ad-hoc tasks and projects to support the daily operations of the building.

SKILLS AND QUALIFICATIONS:

  • Excellent communication skills, both written and verbal.
  • Strong organizational skills with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Previous front-of-house or administrative experience preferred, but not essential.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • A positive, can-do attitude with a customer service-driven mindset.
  • Professional appearance and demeanour.
  • Knowledge of building operations or facilities management is a plus.
