ABOUT VICTORIAN CATHOLIC EDUCATION AUTHORITY (VCEA)

VCEA is the peak body for Catholic education in Victoria. The former Catholic Education Commission of Victoria (CECV)
was established in 1973 by the Archbishop of Melbourne and the Bishops of the Ballarat, Sale, and Sandhurst dioceses,
it was incorporated in 2006. Following a review of the CECV the renewed peak body VCEA was established in 2023 and
acts as the voice of Catholic education in state and national matters.
VCEA receives and distributes funding from state and federal governments for Catholic schools, provides strategic
leadership and planning, and ensures proper governance in Catholic education statewide. It is responsible for sector
leadership in education integrity and governance and has a Memorandum of Understanding to act as a Review Body for
Catholic schools with the Victorian Registration and Qualifications Authority (VRQA). As a Review Body, VCEA supports,
reviews, and monitors the compliance of Catholic schools with all registration, reporting and other requirements under
relevant laws.

Previous A minimum of two years’ experience in administration, reception or Front of House role.

Responsibilities

ABOUT THE ROLE

The Front of House Administrator serves as the first point of contact for visitors to VCEA ensuring a welcoming and
professional environment. This position is responsible for managing front desk operations, coordinating meeting spaces,
and providing high-quality administrative support to assist in the smooth day-to-day operations.
The role supports senior executives, staff, Board and Committee members, and guests. It requires initiative, strong
attention to detail, and the ability to build and maintain positive and professional working relationships.
Due to the nature of this role, the Front of House Administrator is required to be onsite daily.

KEY RESPONSIBILITIES OF THE ROLE

• Serve as the first point of contact for visitors and incoming enquiries, providing a welcoming and professional
experience that reflects the values of VCEA and demonstrates a sound understanding of the organisation’s

operations and services.

  • Manage all Level 6 meeting room bookings and common spaces, ensuring rooms are clean, set up, and presentation-

ready for internal and external meetings, including coordinating catering, room configuration, and Wi-Fi access.

  • Maintain meeting room schedules via Microsoft Outlook and liaise with ground floor security to ensure a smooth

guest check-in process.

  • An office presence of 5 days a week
  • Support event coordination and training sessions, assisting with logistics and room preparation.
  • Oversee inventory management by monitoring and replenishing stationery, kitchen, and catering supplies.
  • Handle all incoming and outgoing mail and deliveries efficiently.
  • Provide general administrative support, including processing invoices and expense claims, data entry, filing, and

document preparation in line with VCEA procurement and record keeping protocols.

  • Work closely with the Lead for Procurement and Facilities and collaborate across portfolios to support day to day

operations.

  • Deliver accurate, timely information and responsive assistance to internal stakeholders to support efficient

workflow.

  • Work collaboratively with the broader administration team to maintain a cohesive, effective team environment.
  • Provide flexible administration support across the organisation as required, including during periods of staff leave or

peak activity, to maintain continuity and productivity.
