SUMMARY

This front of house role means you will be the first person to greet our clients on arrival at the Clinic. There is, therefore, a requirement for you to always be presentable, delivering an impeccable 5* customer service. You will need to have outstanding customer service skills and be able to communicate clearly and effectively with clients, practitioners, and colleagues. You will be involved with all day-to-day front of house duties to include reception responsibilities, greeting patients and visitors and chaperone duties across the clinic. Your role will ensure the smooth running of the front of house and reception area, acting as a key first impression and advocate of Glasshouse Clinic at all times, anticipating and responding to client, doctor and staff requirements, managing these efficiently and in a professional manner. You must provide first class customer service and need to be highly organised with good computer and communication skills, both face to face and over the phone. You must demonstrate an open and welcoming manner in all situations and have a passion for learning and working as part of a high performing team.
You will be working in a busy service environment which requires consistency in customer service and being able to work well under pressure.

REQUIREMENTS

  • Previous customer service experience within a high-end industry.
  • Previous reception experience
  • Excellent organisational skills
  • Good knowledge of IT system including Microsoft packages

  • Client-Centric Approach: Greet and assist patients and visitors with warmth, empathy, and a 5-star level of customer service, setting a positive tone from the moment they arrive, creating a positive and memorable first impression.
  • Meet and greet other visitors, practitioners, contractors etc and signpost to relevant department or staff member.
  • Effective Communication: Communicate clearly and effectively with clients, practitioners, and colleagues to ensure smooth operations and address inquiries and concerns.
  • Flexibility: Be adaptable in your working hours and willingness to assist in various clinic areas when required, ensuring that client satisfaction is consistently met.
  • Appearance and Presentation: Maintain a high standard of personal appearance and ensure the same for common patient areas. Your role is to be a representation of Tracie Giles’s professionalism and natural results ethos.
  • Administration: Assist with administrative tasks, including appointment scheduling, billing, and maintaining patient records, following company policies and procedures.
  • Payment Handling: Process patient payments accurately and securely, adhering to company policies and security standards.
  • Client Comfort: Ensure that the clinic maintains its impeccable appearance and cleanliness at all times, reporting any issues promptly.
  • Chaperone Duties: Act as a chaperone for clinic visitors, guiding them to the relevant department when required.
  • Health and Safety: Undertake health and safety responsibilities, ensuring checks and audits are completed efficiently.
  • Appointment Scheduling: Manage client bookings, ensuring a smooth and efficient scheduling process while accommodating their preferences.
  • Communication: Communicate with clients in a professional and empathetic manner, addressing their inquiries, concerns, and needs promptly and accurately.
  • Client Comfort: Ensure client comfort and satisfaction throughout their visit, offering support and assistance where necessary.
  • Client Information: Provide clients with essential information about our services and procedures, escalating to the relevant department as necessary.
  • Answering Calls: Efficiently answer all incoming calls to the reception desk within the set service levels.
  • Opening and Closing: Take responsibility for opening and closing the clinic and ensure that the clinic is prepared for daily operation.
  • Patient Files: Coordinate patient files for daily clinics, ensuring organisation and accuracy.
  • Handling Complaints: Report patient complaints to the Front of House Manager, contributing to our commitment to continuous improvement.
  • Order Management: Responsible for ordering clinic consumables and refreshments, ensuring that stock levels are maintained and proactively informing the Front of House Manager of any order requirements.
  • Proactive Initiative: Use your own initiative to manage day-to-day challenges and issues that may arise, demonstrating a solution-oriented mindset.
  • Training and Development: Undertake all required training and development necessary for the role and ensure that your knowledge and skills are updated accordingly.
