This role is essential to the success of our firm and plays a key part in creating a positive and welcoming client experience. The Front Office Administrative Assistant provides operational and administrative support to our team of Administrative Assistants and Financial Advisors. This position serves as the first point of contact for clients and helps ensure the office runs smoothly by anticipating needs, resolving issues, and delivering exceptional service. Key Responsibilities Greet clients and visitors while creating a welcoming and professional environment Answer phones, take messages, and schedule appointments using Outlook Calendar Manage operational and processing tasks related to client requests Resolve client inquiries in a timely and effective manner Generate reports and correspondence using multiple software systems Assist with company marketing activities, including social media posts, email campaigns, and client mailings Maintain a clean, organized, and professional front office environment Order office supplies and assist with special projects as needed Requirements Strong communication skills and ability to interact professionally with clients and team members Positive attitude and ability to handle multiple tasks in a fast-paced office Moderate proficiency with Microsoft Word, Excel, and Outlook Typing speed of 40+ WPM with standard math skills Ability to sit for extended periods Must successfully complete fingerprinting, criminal background check, and bankruptcy report in accordance with FINRA and Broker Dealer requirements Ideal Candidate Creates a friendly and positive first impression for all visitors Has experience or interest in the securities, financial, or banking industry Is a self-starter who takes pride in their work and professional presentation Demonstrates strong communication and interpersonal skills, particularly when working with senior clients Comfortable learning and adapting to new technology systems Able to multitask while maintaining attention to detail Works well in a small office team environment and takes ownership of responsibilities
