McInnis & Holloway Funeral Homes, a family-owned business with a rich history of over 120 years in Calgary, is looking for a dedicated and skilled Administration Professional to join our dynamic team. With 10 locations in the Calgary area and a team of over 130 amazing people, this role offers plenty of variety in day-to-day tasks, a positive work culture, and a supportive team environment.
This position works a 5 days / 37.5 hour week with every second weekend off. Shifts are 8:30am - 4:30pm, 9am - 5pm, or 9:30am - 5:30pm depending on assigned location

What You’ll Do:

  • Receive “First Call” information and assist in arranging the details of different cultures’ death process
  • Ensure that the required and official documents of a death are correct (names and dates confirmed) and are filed correctly. These may include Form 4s, Funeral Director Statements of Death, Death Certificates, Burial Permits, Registrations, Medicals, and other government documents
  • Assist with the details of identifications and visitations, which may include contact with a decedent, and confirming handling of personal effects, as well as any other requests from families
  • Contact hospitals and the Medical Examiner’s Office to confirm that the decedent can be transferred into the care of McInnis & Holloway
  • Prepare obituaries and cost estimates for newspaper submissions and distribute to newspapers
  • Create document files that capture all details of individual services and costs
  • Enter additional costs as required to planner, case notes, and financial contracts
  • Answer telephone calls and in-person inquiries from families
  • Receive and distribute internal and external mail and shipments and process outgoing mail and shipments
  • Complete general office duties such as ordering office supplies, filing, copying, booking meeting rooms, payment processing, etc.

What You Bring:

  • 5-Star Customer Service mindset
  • Comfortable working around, and occasionally being in contact with, decedents
  • Strong administration and customer service skills and a strong knowledge of Microsoft Office and Google Suite
  • Strong keyboarding skills with a defined ability to touch-type, with high words-per-minute (not looking at the keyboard)
  • Excellent communication skills, both oral and written
  • Extremely high ability to multitask and the ability to pivot between tasks with ease
  • Highly developed attention to detail with strong proof-reading skills
  • Sensitivity to cultural practices
  • Ability to travel throughout Calgary to work at various McInnis & Holloway locations
  • Available to work any day of the week, including weekends, and to work past scheduled hours as required to meet the needs of the business
