Their basement is flooded, or their kitchen just caught fire. We are looking for a Front Office Administrator who can answer that call with empathy, calm the customer down, and confidently assure them that help is on the way. This is a 100% in-office role (Monday–Friday) where you will be the anchor of our daily operations. You are the first voice our customers hear, the communication hub for our field teams, and the "catch-all" organizer who keeps our office running smoothly. What You’ll Be Doing Answer inbound emergency calls. You must be able to listen to a panicked or stressed customer, de-escalate the situation, and gather accurate information quickly. Enter new job leads into our system and coordinate with our Restoration Managers and field crews to get them dispatched to the site. Keep the office running. This means handling mail, ordering office supplies, greeting anyone who walks through the front door, and supporting the management team with whatever administrative tasks pop up. Make check-in calls to customers during their projects to ensure they are happy with our service and to answer any basic questions. Assist with basic file management, updating customer records, and ensuring our field teams have the paperwork they need before they roll out. What We’re Looking For You aren't just polite; you have a thick skin and the ability to project calm confidence over the phone to someone who is actively stressing out. You can put a customer on hold, wave to a technician walking in, and finish typing an email—all without losing your cool. This is an essential in-office role. We need someone who is dependable and ready to hold down the fort 5 days a week. You don't need to know our specific restoration software yet, but you need to be comfortable navigating computers, learning new systems, and using Microsoft Office/Google Workspace. The Reality of the Role This is a full-time, 100% in-office position, Monday through Friday. Restoration is a fast-paced, emergency-driven industry. Some days will be quiet and you'll focus on filing and office organization; other days, a storm will hit, and the phones won't stop ringing. You need to thrive in both speeds. Requirements Education: High school diploma or GED. Experience: 2+ years of experience in a customer service, receptionist, or administrative role (experience handling high-call volume, dispatch, or medical front-office is a massive plus). Must be able to pass a standard background check.
