Description Front Office Assistant Hours: School days: 11:00am-4:00pm Front Desk & Visitor Support Greet and welcome all students, parents, and visitors in a professional and friendly manner. Answer and direct incoming telephone calls to the appropriate staff or department. Maintain a clean, organized, and welcoming front counter and reception area. Assist students with questions, passes, and general front-office needs. Monitor building entry and ensure only approved individuals are allowed entry into the school. Check in visitors and late students through our School Check-in system. Mail, Shipping & Communication Prepare outgoing mail, including USPS, UPS, FedEx, and DHL shipments. Manage large mailings, including graduation materials and mass programs, by coordinating copying, folding, envelope preparation, and postage applications. Maintain the postage meter by adding postage, labels, and ink as needed. Distribute incoming mail to staff mailboxes. Manage the fax machine, including distributing incoming faxes and replenishing paper and ink. Student Health & Support Administer medications to students in accordance with school procedures. Assist the Registrar with filing sick notes, health records, and related documentation weekly. Maintain the kitchenette and student “sick bed” areas, ensuring they remain clean, organized, and sanitary. Office Equipment & Supplies Produce and restock interoffice forms such as passes and admit slips. Student Records & Administrative Support Issue student parking stickers. Assist the Registrar with updating student records, transcripts, and new student files. Provide back-up support for the Registrar as needed. Clean out and organize student files at the end of each academic year.
