JOB OVERVIEW

We are seeking a dedicated and professional Front Desk Agent to join our team. The ideal candidate will be the first point of contact for our telephone callers and occasional guests, providing exceptional customer service. This role requires strong organisational skills, attention to detail, and the ability to manage multiple tasks and calls efficiently in a fast-paced environment.
Key Responsibilities

Client and Professional Communication

  • Manage incoming calls from clients, family members, health and social care professionals, and external partners.
  • Respond to queries and concerns with clarity and empathy, escalating where necessary.
  • Handle authorisation requests for personal allowances, ensuring they meet company guidelines.
  • Maintain clear and timely communication with all relevant parties.

Administrative and Coordination Duties

  • Request and process replacement of prepaid cards as needed.
  • Order and maintain office supplies and stationery.
  • Report and monitor office maintenance needs promptly.

Client Finance and Property Support

  • Request and authorise personal allowance sheets for clients in residential/nursing care settings.
  • Monitor and chase outstanding expenditure forms.
  • Receive and process invoices for payment in line with internal procedures.
  • Conduct property visits for clients, accompanied by another staff member where appropriate.

Compliance and Safeguarding

  • Recognise and report all safeguarding concerns or issues relating to a client’s mental capacity in accordance with company policy.
  • Maintain accurate records and ensure actions are followed up appropriately.

Service Excellence

  • Deliver work for key identified clients promptly and efficiently.
  • Build and sustain strong, professional relationships with clients, colleagues, and external stakeholders.
  • Represent Appointee Services Ltd in a courteous, knowledgeable, and trustworthy manner at all times

Person Specification

Essential:

  • Excellent telephone manner and interpersonal communication skills
  • Ability to handle sensitive information with confidentiality and care
  • Strong organisational skills and attention to detail
  • Experience in administrative support roles
  • Good working knowledge of Microsoft Office and email systems
  • Able to work under pressure and manage competing priorities

Desirable:

  • Experience in a care, social work, or financial services setting
  • Understanding of safeguarding principles and mental capacity legislation
  • Experience using Allpay or similar prepaid systems

Additional Information
This role requires occasional travel to client properties or partner locations. A driving licence and access to a vehicle is preferred.
