JOB OVERVIEW

We are seeking a dedicated and organized Office Secretary to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing clerical and administrative support. This position requires strong communication skills, attention to detail, and the ability understand construction processes efficiently. The Office Secretary will be responsible for maintaining office organization, managing schedules, and serving as the first point of contact for visitors.

  • Strong computer skills with familiarity in office software applications such as Microsoft excel.
  • Excellent phone etiquette and interpersonal skills to effectively communicate with clients and team members.

    This position requires a strong understanding of construction processes such as purchase orders, submittals, and document preparation. Responsibilities
  • Manage front desk operations, including greeting visitors and answering phone calls with professionalism and courtesy.
  • Compose letters and memoranda from verbal direction, dictation, or from knowledge of department policy or procedure.
  • Must have knowledge of the permits/inspections process. Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel. Access to produce correspondence and documents and to maintain presentations, records, spreadsheets and databases.
  • Assist with calendar management by scheduling appointments and coordinating meetings for staff members. Additionally, coordinating between subcontractors, general contractors and owners to ensure a smooth build process.
  • Handle correspondence, including emails and memos, ensuring timely responses and follow-ups.
  • Support office management tasks to maintain a productive work environment.
  • Utilize computerized systems for record keeping and data management efficiently.
  • Provide administrative support as needed to various departments within the organization.
