Description Front Office Staff serves as the primary patient-facing representative of Granite State Physical Therapy. This role is responsible for greeting patients, scheduling appointments, answering phones, collecting co-pays, maintaining medical records, and supporting daily clinic operations. Core Responsibilities Patient Experience & Front Desk Operations Greet patients in a warm, friendly, and professional manner Assist with check-in, scheduling, and co-pay collection Explain clinic forms, policies, and insurance requirements Ensure all required paperwork is completed accurately Track referrals and insurance questions to minimize patient frustration Scheduling & Phone Management Monitor referrals and schedule evaluations promptly Follow up on incomplete scheduling requests Accurately schedule appointments and provide visit instructions Track no-shows and cancellations and assist with rescheduling Answer phones using professional greeting standards Document messages clearly and accurately Records, Documentation & Faxing Scan and file intake paperwork Verify evaluations and progress notes are sent Send and receive faxes and secure messages Maintain accurate patient charts Financial Front Desk Duties Collect co-pays and patient payments Post payments accurately in Prompt Maintain cash box balances Prepare deposits as assigned Office Operations Distribute mail Maintain office cleanliness Assist with supply inventory Training & Development Participate in cross-training for Revenue Cycle Management (RCM) functions Demonstrate competency in insurance authorizations, billing workflows, and documentation standards Benefits: Medical and Dental insurance IRA (Simple and Roth) Retirement plan with company match Generous PTO Policy 7 paid holidays Employer covered Short-term, Long-term, and AD&D insurance Requirements QUALIFICATIONS: High School Diploma or equivalent with background and skill set consistent with general business operations to include schedule management, insurance billing, billing procedures, business compliance management, customer service, supply management, data management and analysis and general office management skills.
