FRONT OFFICE / WORKPLACE ASSISTANT

Location: San Francisco, CA 94103 (Must be local - within a 45-minute commute)
Payrate: $30/hr (Weekly pay)
Duration: 2–3 month contract (Great potential for extension or permanent hire)
Hours: Full-time | Monday–Friday | 8:30 AM – 5:00 PM

POSITION OVERVIEW:

We’re seeking a reliable and proactive Front Office / Workplace Assistant to manage day-to-day front desk and workplace support operations at our San Francisco office. You will play a key role in creating a professional, welcoming, and organized environment for employees, guests, and vendors. Ideal candidates will experience in reception, workplace coordination, facilities, or administrative support roles.

QUALIFICATIONS:

  • 1+ year of experience in reception, front desk, office coordination, facilities, hospitality, or similar
  • Friendly, professional, and customer service–oriented demeanor
  • Reliable, punctual, and dependable
  • Comfortable managing guest check-ins and issuing visitor badges
  • Experience with ordering and managing office supplies
  • Tech-savvy with familiarity in workplace communication tools (Slack, MS Teams, Google Workspace, etc.)
  • Responsive to communications via chat flatforms
  • Fast learner with a proactive attitude and ability to jump into new tasks quickly
  • Comfortable lifting light office supplies or packages (up to 20 lbs.)

Responsibilities
  • Serve as the first point of contact for employees, guests, and vendors with a warm and professional presence
  • Manage front desk operations: greet visitors, handle check-in, issue badges, and assist with wayfinding
  • Coordinate mailroom operations, including shipping, receiving, logging, and distributing packages
  • Conduct regular office walk-throughs to identify and address any maintenance or facilities issues
  • Maintain and restock office supplies; manage inventory and place orders as needed
  • Assist with room bookings, workspace coordination, and general office logistics
  • Submit and track facility maintenance requests; follow up with building management and vendors
  • Respond to incoming requests via ticketing system, email, or chat (Slack/MS Teams)
  • Support workplace safety, health protocols, and office compliance standards
  • Assist with budget tracking and spend reporting related to office operations
