Generator Power Ltd is the UK’s largest and privately owned generator rental company having enjoyed over 25 years of supply in the industry. Generator Power has experienced rapid growth in recent years and is undergoing further expansion providing an excellent opportunity for a Fuel Invoice Clerk to join our team at our Normanton Depot
Monday - Friday 8.00am - 5.00pm 40 Hours a week.
Main Functions of the role:
Assist in the smooth and efficient day to day running of the Fuel department Function within the Depot;
To work flexibly as a member of the Fuel Team and provide a customer focused service to both Internal and external customers.
Duties/Responsibilities:
· Printing out and matching up supplier invoices and pod’s
· Chasing suppliers up for any missing documents
· Inputting supplier invoices on to Insphire
· Creating customer invoices for fuel deliveries from both supplier invoices and internal job sheets
· Monthly HMRC fuel return
· Responsible for the smooth running of all contracts on Fuel Management and ensuring all deliveries meet requirements.
· Ensure all requests are taken in detail and processed correctly.
· Create, input and ensure accuracy of workshop jobs onto the company InspHire system to minimise account queries and potential credits.
· Produce and maintain a manual complete contract file, containing all relevant paperwork including signed delivery and collection notes.
· Liaise with external tanker companies for timely deliveries ensuring accurate delivery details are supplied.
· Ensure relevant spreadsheets (as applicable) are updated daily/weekly and any concerns are brought to the attention of your Line Manager.
· Ensure own individual knowledge is enhanced by constantly aiming to learn/improve and taking on board training as necessary.
· Raising Purchase Orders and ensuring correct process is followed.
· Ensure good relationships with suppliers whilst negotiating the best commercial rates on a weekly basis.
· Liaise and communicate effectively with all levels of staff.
· Ensure company vehicle or occasional loan vehicle supplied, is kept clean and tidy at all times, serviced within manufacturer’s guideline, and ensure any defects are notified to correct parties and rectified in a timely manner;
· Any other Ad Hoc duties as and when required
· Always act in the best interests of any of the Generator Power Group of Companies, and not to carry out (or fail to carry out) any action that would bring the company into disrepute;
Always work in a responsible manner to ensure safe working practices. Follow Health Safety Quality and Environmental guidelines provided by the company - currently ISO 9001:14001 and OHSAS 18001 procedures, including all future notifications.
Carry out any reasonable ad-hoc duties requested by your direct Line Manager or the Management Team.
Experience/Skills required:
Strong Administration experience.
Worked with InspHire( Desired but full training can be given)
Excellent organisation skills.
Good communications skills, written and verbal.
An ability to work efficiently under pressure.
Ability to understand and implement written and verbal instruction.
Customer service skills;
Confident in dealing with people on the phone and in person;
Ability to work as part of a team and on own initiative;
Must be competent on excel and other Microsoft packages.
