JOB OVERVIEW

We are seeking a dedicated and detail-oriented Office Administrator to join our team. The ideal candidate will have a strong background in office management and administrative support, ensuring that our office runs smoothly and efficiently. This role is crucial in coordinating day-to-day operations, managing communications, and providing clerical assistance to various departments.

SKILLS

  • Proven office experience with a strong understanding of administrative processes.
  • Proficient computer skills, particularly in Microsoft Office Suite
  • Previous experience with Xero (or similar) is advantageous.
  • Excellent organisational skills with the ability to manage multiple tasks simultaneously
  • Effective phone etiquette and communication skills to interact professionally with clients and colleagues.

Responsibilities
  • Manage incoming and outgoing communications, including phone calls and emails, ensuring professional phone etiquette at all times.
  • Prepare and send invoices to customers who have placed orders on the phone or by e-mail
  • Deal with queries from customers in relation to course bookings
  • Take payment and deal with exam board queries
  • Maintain organised filing systems for both physical and digital documents.
  • Perform data entry tasks accurately and efficiently, ensuring all records are up-to-date.
  • Assist with bookkeeping tasks using XERO, including invoicing and expense tracking.
  • Prepare wages information to submit to the Accountant for monthly pay cycle
  • Administer examination paperwork and send to relevant bodies
  • Coordinate office supplies inventory and place orders as necessary to ensure the office is well-stocked.
