Location: Toronto, ON
Position: Full-Time (35-40 hours/week)

1. CREATE UNFORGETTABLE PATIENT EXPERIENCES

  • Be the first friendly face patients see when they walk in – you’ll set the tone for their visit, making them feel welcomed and supported.
  • Engage with patients through phone calls, emails, and in-person interactions, answering questions, booking appointments, and helping them understand our services.
  • Reactivation and Fall-Off Calls: Make follow-up calls to patients who have not returned to encourage reactivation and check in with those who may have “fallen off” the schedule.
  • Insurance coverage verification: You’ll work directly with insurance providers to confirm benefits and make sure our patients understand their coverage.

  • Excellent communication skills: You know how to engage people, especially over the phone, but also via email, and in person. You can learn to clearly explain our services and make people feel heard and valued.
  • Attention to detail: You catch the small stuff and know how to keep everything organized – nothing slips through the cracks on your watch.
  • Proactive & process-driven: You love to take the initiative, streamline processes, and improve efficiencies wherever you can.
  • Customer service oriented: You genuinely care about making each patient’s experience a positive one and are always looking for ways to exceed expectations.
  • Tech-savvy: You’re comfortable using clinic management software (like Jane), Google Drive, Excel, and social media platforms. Familiarity with billing and insurance claims is a bonus.
  • Team player: You thrive in a collaborative environment, enjoy problem-solving, and are always ready to jump in and help your colleagues.

As our Toronto Clinic’s Office Manager, your role will be split into two exciting areas: 50% clinic operations and 50% revenue generation. You’ll be the glue that keeps everything together – from scheduling appointments to building relationships with our patients, while also handling billing, insurance claims, and marketing.
