Description:
Rennick & Gaynor are a busy, mid-sized law firm that has been providing legal services in Melbourne and regional Victoria since 1919. We have offices located in Hawthorn East and Geelong.
We are seeking an experienced, highly motivated and energetic Legal Assistant/Probate Clerk to support our Wills and Estates team in our Hawthorn East office starting immediately, working full-time or part-time. The successful applicant will have at least 3 years experience, show initiative and exceptional attention to detail with neat corporate presentation. Previous experience in a law firm or experience as a paralegal is preferred.
Our Hawthorn East office is located near the Camberwell Junction, conveniently located near public transport and car parking is available.

- Accurate typing
- Knowledge of Microsoft Office 365 and Leap legal software an advantage
- Knowledge of accounting or bookkeeping an advantage
- Excellent organisational skills with the ability to multi-task and prioritise
- Ability to work autonomously, be flexible and use initiative
- Experience in complex estates (including VCAT and litigation) would be an advantage

Responsibilities:
Duties for the position may include:
- General office and administrative duties and secretarial tasks
- Client liaison and client database management
- Preparing Probate and Letters of Administration applications, signing, lodging and distributing estates from start to finish
- Liaising with barristers
- Drafting and preparing documents and correspondence, including briefs
- Management of funds on behalf of estates (including investments and bill paying)
- Data entry and billing
- Assisting the Partner and senior lawyers
- Managing incoming and outgoing communications
- Diary and file management
- Understanding trust accounts and associated financial responsibilities
- Preparing invoices
- Closing and archiving files
- Drafting correspondence to clients and third parties
- Managing incoming and outgoing mail
