About the Role A rapidly growing pediatric private practice is seeking a skilled and reliable Medical Administrative & Patient Support Virtual Assistant to help manage high-volume patient communication during a busy season (cold/flu). This role is essential to ensuring smooth daily operations, timely scheduling, and excellent patient care. You will support the provider and medical assistant with: ● Phone triage ● Patient scheduling ● Insurance eligibility checks ● Prior authorizations ● Referral coordination ● Medical admin & billing support The ideal candidate has experience in healthcare admin, is comfortable communicating with parents, understands patient sensitivity, and is eager to learn pediatric workflows. \n Key Responsibilities Patient Communication & Phone Triage Answer and manage high-volume patient calls throughout the day Gather key information and route appropriately to provider/MA Assist with basic triage coordination (symptoms, scheduling needs, follow-up questions) Respond to email or website-generated patient inquiries Maintain a warm, professional tone with parents and caregivers\ Scheduling & Coordination Schedule appointments in alignment with provider availability Reschedule, cancel, and confirm appointments as needed Ensure same-day urgent visits are handled quickly and efficiently Coordinate follow-up appointments without requiring provider intervention Use basic Spanish when needed to assist Spanish-speaking families (approx. 10% of the patient base) Insurance, Referrals & Prior Authorizations Perform insurance eligibility verification Submit and track prior authorizations (training provided) Communicate with insurance companies regarding coverage and status Process and track referrals to specialists or external providers Follow up with families regarding documentation requirementsMedical Billing & Revenue Cycle Support (Trainable) The provider is open to training the VA on billing processes. Duties may include: Working on insurance denials Preparing simple appeal letters Calling insurers for claim status Assisting with remits and billing follow-ups Ensuring accurate documentation flows into the billing system Documentation & Admin Support Update and maintain accurate patient records Follow pediatric-specific workflows and protocols Manage incoming website messages, inquiries, and follow-ups Support the provider and MA with administrative tasks as needed Tools & Software Experience in the following is a plus (but training is provided): Primary Tools TriMed EHR (pediatric-specific) – very user-friendly Waystar Clearinghouse (nice-to-have) Email systems: Outlook, Gmail General Familiarity Helpful Medical terminology HIPAA-compliant workflow practices Insurance verification platforms Must-Haves Strong English communication skills (phone + email) Ability to work 8:00 AM – 4:00 PM ET Experience in healthcare, medical admin, or patient coordination Comfortable communicating with families in a pediatric environment Organized, attentive to detail, and able to manage multiple priorities Ability to learn new EHR/billing systems quickly Professional, calm, and patient with callers Highly Preferred Basic Spanish proficiency (enough for simple scheduling & inquiries) Experience in pediatrics or family medicine Familiarity with prior authorizations, eligibility checks, or billing workflows Experience with medical scheduling or triage support \n
