Description

Key ResponsibilitiesInvestor Account Administration: Oversee investor onboarding, account opening, profile maintenance, amendments, and account closure in accordance with established procedures.
Subscription and Redemption Processing: Review and process investor subscriptions, redemptions, switches, and transfers, ensuring transactions are complete, accurate, and processed within agreed deadlines.
Transfer Registration: Manage ownership transfers, registration changes, account transfers, and related documentation while maintaining accurate investor records.
KYC and Due Diligence: Coordinate with compliance teams to ensure investor identification, Know Your Customer (KYC), Customer Due Diligence (CDD), and beneficial ownership documentation are complete and up to date.
Transaction Validation: Verify transaction instructions, signatures, supporting documents, investor eligibility, and authorization requirements before processing.
Investor Communications: Respond to investor, distributor, fund manager, and intermediary inquiries regarding account status, transaction processing, documentation, and service requests.
Reconciliation and Data Integrity: Perform investor account reconciliations, investigate discrepancies, and ensure transaction records align with fund accounting and custody records where applicable.
Exception Management: Investigate rejected, delayed, incomplete, or unusual transactions and coordinate timely resolution with relevant internal and external stakeholders.
Regulatory Compliance: Follow applicable fund documentation, anti-money laundering requirements, data protection rules, and internal control procedures.
Reporting and Documentation: Prepare operational reports, transaction summaries, audit trails, and management information while maintaining complete and accessible records.
Process Improvement: Identify opportunities to streamline workflows, reduce manual processing, improve data quality, and strengthen operational controls.
Team Support: Provide technical guidance to junior team members, review complex cases, and support knowledge sharing and continuous improvement initiatives.
Qualifications and ExperienceBachelor's degree in Finance, Accounting, Business Administration, Economics, or a related discipline.
Typically 5+ years of experience in transfer agency, fund administration, investor services, securities operations, or a related financial services function.
Strong understanding of mutual funds, alternative investment funds, private funds, or other investment products and their investor servicing requirements.
Practical experience with subscription and redemption processing, investor onboarding, account transfers, registration changes, and investor record maintenance.
Knowledge of KYC, AML, CDD, beneficial ownership verification, and investor due diligence procedures.
Familiarity with fund structures, investor documentation, transaction validation, and operational reconciliation processes.
Experience using transfer agency platforms, fund administration systems, investor recordkeeping applications, and Microsoft Excel.
Strong analytical, organizational, and problem-solving skills, with excellent attention to detail.
Ability to manage competing priorities, meet strict processing deadlines, and handle confidential financial information responsibly.
Effective written and verbal communication skills, with the ability to work collaboratively across operations, compliance, fund accounting, and client service teams.
Ability to work independently in a fully remote environment while maintaining productivity, accountability, and professional service standards.
