About The Team : As a General Affairs Specialist, you will be essential to ensuring smooth day-to-day operations and supporting a productive workplace environment. You’ll oversee the general management of office facilities, coordinating with support staff and liaising with multiple departments to maintain efficiency. This role requires a proactive approach to managing resources, budgeting, vendor relations, and supporting the diverse needs of our teams. Your contributions will help create a welcoming, well-organized office environment that enables our team to thrive. What You Will Do: Oversee daily office operations to ensure all facilities run smoothly and efficiently, addressing any operational issues promptly. Manage and support office personnel, including receptionists, office assistants, and drivers. Maintain and monitor company assets and building, scheduling regular servicing and repairs to uphold workplace quality and safety. Track and manage the General Affairs budget, coordinating closely with finance to handle invoice submissions and expense reporting. Collaborate with teams such as Finance, HR, Legal, and IT to ensure alignment and timely follow-up on documentation and shared resources. Build and manage relationships with vendors, negotiating contracts and agreements to ensure optimal service and cost-effectiveness. Monitor office supplies, reordering as needed, and prepare equipment for new hires or department transfers to support smooth onboarding and transitions. What We Are Looking For: Open to fresh graduates; experience in General Affairs or Office Management is a plus. A diploma in Business Administration or a related field is preferred. Proficient in MS Office and back-office software (ERP systems), familiarity with SAP or similar tools is an advantage. Strong organization and time-management abilities, with an understanding of basic office and business principles. Demonstrated integrity and the ability to handle sensitive information with confidentiality. Strong interpersonal skills and emotional intelligence are essential. Excellent verbal and written communication skills, including proficiency in English.
