Position Overview As a Governance & Board Operations Specialist at the AI Robotics Association (AIRoA), you will play a central role in shaping and operating the association’s governance framework. Your core mission will include designing the annual schedule for the Board of Directors and various committees, coordinating agendas and discussion materials, preparing minutes, and following up on resolutions. You will also lead the development of internal regulations and internal control rules, the design and operation of compliance frameworks, and the formulation of policies for document management and information disclosure. As you will frequently collaborate with member companies and research institutions, you will also have opportunities to prepare English board materials and support meetings conducted in English. 【What Makes the “General Affairs Specialist” Role at AIRoA Unique】 In this role, you will support a “social infrastructure–level” initiative—building and disseminating robotic foundation models and data ecosystems for AI and robotics—from the governance side. AIRoA brings together major corporations and leading researchers, and you will work closely with them to design how decisions are made and how transparency is ensured. The governance frameworks, operating models, and regulations you help build will directly contribute to the association’s credibility and international trust, giving you a strong sense of impact. 【The Appeal of Taking On This Challenge at AIRoA, Just as We Are Getting Started】 AIRoA is a general incorporated association established to drive technological innovation in robot development and its social implementation through the fusion of AI and robotics. While you will draw on best practices from other organizations’ governance standards and global platform operations, you will also have the freedom to design rules and governance bodies that are uniquely suited to AIRoA. Because AIRoA also works in conjunction with national R&D initiatives, the role demands both strong public accountability and the speed of a startup environment—making this a highly challenging role with significant opportunities for growth. 【Other】 While remote work is possible, this role is primarily expected to be office-based. Most of our engineers and researchers also work on-site, conducting research and development directly in front of the robots. 【About AIRoA】 AIRoA was established in December 2024 with two core objectives: “to revolutionize the technology of robot development through the fusion of robots and AI” and “to promote the use of robots in society.” While AI is rapidly advancing worldwide, the shortage of data in robot development has become a critical issue. To address this challenge, we are running a national flagship project funded by NEDO (New Energy and Industrial Technology Development Organization), with an investment of over JPY 20 billion. ●Recruitment Background As AIRoA’s projects and membership base continue to grow, the number of board and committee bodies—and the range of topics they deliberate—are also increasing. At the same time, we are currently in the process of building our governance framework, including internal regulations and information disclosure structures. With future business expansion and stronger international collaboration in mind, we are newly recruiting a Governance & Board Operations Specialist to help enhance the transparency and credibility of the association’s operations. ●Future Mission In this role, you will take the lead in building the governance foundation of AIRoA—standardizing processes for board and committee operations, improving the quality of proposals and minutes, and developing internal regulations and guidelines. Over the medium to long term, we expect you to drive the advancement of internal controls, risk management, and compliance training, as well as lead rule-making related to information disclosure policies and the operation of our data ecosystem, ultimately shaping a governance framework that meets global standards. Required Qualifications: Practical experience in building governance frameworks and operating boards of directors at a general incorporated association, listed company, or similar organization (including preparing board proposals and minutes, and knowledge of legal affairs and document management) Knowledge and strong execution capability in compliance, internal controls, and policy / regulation development, with a proven ability to coordinate stakeholders and drive projects forward Experience in a corporate planning / strategy function (e.g., managing executive meetings, formulating mid-term plans and KPIs) Experience as a secretary or executive assistant supporting senior management or board members Native-level Japanese and business-level (or higher) English, with the ability to handle meetings, email communication, and document preparation with overseas stakeholders Preferred Qualifications: Experience in corporate governance and/or IR/SR-related work at a listed company or large corporate group Experience involved in board operations that include outside directors, auditors, and external experts Hands-on experience preparing board materials in English and working on global projects Strong interest in technology, especially in the fields of AI and robotics Experience leveraging a legal background (e.g., attorney, judicial scrivener, administrative scrivener, in-house legal) to contribute to rule-making and policy design Language Skills Japanese (native level) English (business level or above) ●Our Office We currently operate out of a spacious office and research facility of over 1,000 m² located in the Ryutsu Center area. In this space, our business teams and engineering teams work in close collaboration, advancing both day-to-day operations and R&D with AI robots always close at hand. The facility is frequently visited not only by members of the AI Robot Association, but also by engineers and researchers from partner companies and representatives from member companies.
