QUALIFICATIONS

  • Expérience avérée (5+ ans) en gestion de flotte et/ou de facilities, de préférence dans l’industrie de la distribution alimentaire ou du transport.
  • Connaissance approfondie des réglementations de transport du Québec et de l’Ontario, y compris une solide compréhension du PEVL et des mandats DCE.
  • Expérience démontrée dans la gestion d’une flotte de plus de 35 véhicules commerciaux.
  • Solide aptitude mécanique et compréhension de l’entretien des véhicules et des équipements de bâtiment (CVC, réfrigération, chariots élévateurs).
  • Excellentes compétences organisationnelles et de tenue de dossiers avec une attention méticuleuse aux détails.
  • Maîtrise des logiciels de gestion de flotte, des systèmes DCE et de la suite Microsoft Office (Excel, Word, Outlook).
  • Solides compétences en communication et en relations interpersonnelles, avec la capacité d’interagir efficacement avec les conducteurs, les fournisseurs et les équipes internes.
  • Une expérience des procédures judiciaires liées aux infractions de transport est un atout important.

Our operations rely on a robust fleet of over 35 vehicles, including refrigerated tractor trailers and straight body trucks, covering extensive routes across both provinces. We are seeking an experienced and highly organized Fleet & Facilities Manager to oversee our entire fleet operations and building maintenance, ensuring efficiency, compliance, and safety.

POSITION SUMMARY

The Fleet & Facilities Manager will be responsible for the comprehensive management of our diverse vehicle fleet and the maintenance of our company’s infrastructure. This critical role involves ensuring the operational readiness of all vehicles, managing regulatory compliance, overseeing maintenance and repair programs for both the fleet and the building, and maintaining detailed records of driver incidents and performance. The ideal candidate will be a proactive problem-solver with a strong understanding of transportation regulations and a commitment to safety, efficiency, and cost optimization.

QUALIFICATIONS

  • Proven experience (5+) years) in fleet and/or facilities management, preferably within the food distribution or transportation industry.
  • In-depth knowledge of Quebec and Ontario transportation regulations, including a strong understanding of PEVL and ELD mandates.
  • Demonstrated experience managing a fleet of 35+ commercial vehicles.
  • Strong mechanical aptitude and understanding of vehicle maintenance and building equipment (HVAC, refrigeration, lift trucks).
  • Excellent organizational and record-keeping skills with meticulous attention to detail.
  • Proficiency in fleet management software, ELD systems, and Microsoft Office Suite (Excel, Word, Outlook).
  • Strong communication and interpersonal skills, with the ability to effectively interact with drivers, vendors, and internal teams.
  • Experience with legal proceedings related to transportation infractions is a significant asset.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Valid driver’s license with a clean driving record.
  • Fluent in French (spoken and written), with basic English communication skills required.

EDUCATION

  • Post-secondary education in Logistics, Transportation, Facilities Management, Business Administration, or a related field is preferred.
  • Relevant professional certifications in fleet or facilities management are a plus.

Responsibilities
  • Fleet Management & Maintenance:
  • Oversee and manage all aspects of vehicle maintenance, including preventive maintenance schedules, unscheduled repairs, and roadside assistance.
  • Coordinate with third-party vendors and internal teams for timely and cost-effective repairs and servicing.
  • Manage vehicle leases, ensuring optimal terms and conditions.
  • Manage the annual insurance renewal for the entire truck fleet.
  • Track and manage fuel consumption, vehicle mileage, and operational costs.
  • Implement and monitor best practices for vehicle cleanliness and appearance.
  • Facilities Management & Maintenance:
  • Oversee general building maintenance, including HVAC (heating, ventilation, air conditioning) systems, cooler and freezer systems, and receiving bays.
  • Manage the maintenance and acquisition of new lift trucks, including battery maintenance.
  • Coordinate outsourced services such as lawn care and snow removal.
  • Ensure all facilities comply with safety standards and current regulations.
  • Source and obtain the best quotes for all outsourced work and services.
  • Regulatory Compliance:
  • Ensure full compliance with all provincial and federal transportation regulations, including Quebec’s Regulation respecting safety standards for road vehicles.
  • Maintain accurate and up-to-date vehicle registrations, permits, and inspections.
  • Stay informed of changes in transportation laws and regulations and implement necessary adjustments.
  • Driver Management & Incident Tracking (HVOOD):
  • Manage and track all driver infractions, accidents, and incidents. Review and manage our Heavy Vehicle Owners, Operators and Drivers record.
  • Maintain comprehensive and confidential files for each driver, documenting all incidents, training, and disciplinary actions.
  • Contest tickets when necessary and represent the company/drivers in court as required.
  • Collaborate with Human Resources and Operations to address driver issues when necessary.
  • Promote a strong safety culture among drivers, organizing and overseeing safety training as needed.
  • Record Keeping & Reporting:
  • Develop and maintain accurate and organized records for all fleet and facility-related activities (maintenance logs, repair histories, fuel records, driver incident reports, etc.).
  • Prepare and submit quarterly IFTA (International Fuel Tax Agreement) reports.
  • Manage 407 ETR (Express Toll Route) transponders.
  • Oversee and manage Electronic Logging Devices (ELDs) to ensure compliance with Hours of Service (HOS) regulations and accurate driver activity tracking.
  • Generate regular reports on fleet and facilities performance, costs, and compliance for senior management.
  • Budget Management:
  • Assist in the development and management of the fleet and facilities budget, identifying areas for cost savings and efficiency improvements.
  • Monitor and control expenses to ensure adherence to budgetary guidelines.
