Description ProSource360 Consulting Services, Inc. is seeking a GovCon Executive Assistant/Office Manager to be part of our corporate operations team in the Washington DC metropolitan area. The successful candidate will have experience in the consulting arena supporting senior level officials. Excellent verbal and written communication skills are a must. He/she is required to be on-site (hybrid) as requested by the Executive Team. Responsibilities Schedule meetings querying attendees’ availability and issuing calendar invitations Receive visitors and telephone calls from internal and external stakeholders Draft and review administrative correspondence documents to ensure proper format and alignment with client’s standard practices and/or other industry practices as applicable. These could include items such as letters, memos, presentations Prepare conference, travel and logistics (e.g., hotel reservations, transport, expense reports, etc.) for domestic and international trips Coordinate the flow of correspondence received from ProSource360 Executives ensuring that requested action items are handled in a timely and complete manner Support internal Human Resources operations with employee engagement, employee inquiries, performance reviews, position description development, resume reviews, recruiting efforts, and onboarding/offboarding (Paylocity & UNANET) support. Financial and accounting operations support including travel invoices (customer), company expense reports, timesheet approval, ad hoc reporting (UNANET), and payroll support. Organize and maintain electronic filing system, ensuring that records are kept current, filed promptly and in a manner consistent with current practices Organize and plan monthly, quarterly, and annual events as requested. Support the management of ProSource360 internal SharePoint site – assisting with initial set-up and configuration of a new SharePoint Online space, migrating and fitting materials from the old SharePoint 2016 site into the new site, regular updates and maintenance of materials and functions on the new site, and assistance with the upkeep of forms/workflows/automations. Internal communications- prepare briefs, slides, weekly communication, and other content to communicate initiatives to the rest of the company. Advisory Group support – logistics and hosting for the monthly advisory group meeting and sub-group meetings, soliciting meeting items from members, preparing agendas/read-ahead materials, and taking meeting notes. Project Management, communications, and meeting support for activities developed and charged under Executive team initiatives Manage all incoming mail and distribute it as needed to the proper recipients. Office attendance is 2 days a week, Remote 3 days a week. Requirements Required Bachelor’s Degree Minimum of 7 years of progressive experience in the administrative capacity in a government consulting firm Experience migrating data in SharePoint Must have experience with forms, workflows, and automations in SharePoint Experience working closely with senior Executives, internal and external stakeholders, Excellent written and verbal communication skills Expert-level experience in Microsoft Word, Excel, Outlook and PowerPoint Preferred Project management experience Office Management experience HR support experience ProSource360 Consulting Services, Inc. is an Equal Opportunity Employer.
