Responsibilities

ABOUT THE ROLE

The University Governance team at Imperial College London, which is part of Division of University Secretary, is looking for a highly organised Events Co-Ordinator to support the delivery of a varied portfolio of high quality and reputationally important events.
These range from formal dinners hosted by the Chair of Council, Honours Dinners, and breakfast seminars aimed at external audiences, to providing logistical and practical support for key governance functions such as Council and other formal meetings. As part of the Governance team, you will be responsible for planning and coordinating the delivery of these functions, ensuring every detail is in place to create a professional and welcoming experience for all attendees. As a key point of contact on the day, you will play a visible role in representing the team and ensuring the smooth running of each occasion.

WHAT YOU WOULD BE DOING

  • Providing support to the Director of Governance and Head of Governance Operations with the planning and administration of a varied programme of events.
  • Coordinating event communications, managing responses to invitations and enquiries with professionalism, and ensuring timely and well-organised follow-up.
  • Liaising with internal stakeholders and external suppliers, including caterers, venues, and University departments, to support the smooth delivery of events and meetings.
  • Providing onsite support for events, acting as a visible and helpful presence to ensure a positive experience for all attendees.
