Description The Government Grants Manager prepares, submits, and manages applications and proposals for the organization for existing or proposed projects that are eligible for government grant funds. Prepares grant applications including writing, budgeting, and submitting all required documentation. Monitors budgets and compliance of government and private grants. As a key member of the Grants Administration team, the manager will oversee the dynamics between government and private grant funding to align the organization’s grant strategy. Essential Job Functions Works with the Director of Grants Administration to ensure that all funding materials accurately represent Three Square's mission and program in a compelling manner. Conducts the full range of activities required to prepare, submit, and manage government grant proposals, including detailed narratives, designing outcome measures, budgets, and presentations in accordance with the funders giving policies, guidelines, and criteria. Maintains an understanding of both government and private grants to support the organization’s grant strategy. Serves as the Co-Chair of the Grants Committee. Conducts research to identify new funding sources. Recruits partners to collaborate on grant proposals and solicit letters of support and/or secure agreements with program partners. Develops grant budgets; perform budget-to-actual analysis of spending for each grant. Develops procedures to ensure compliance with grant conditions. Manages post-grant financial and compliance matters. Manages post-award functions including financial reporting, tracking spend per compliance and guidelines, and programmatic reporting. Develops budgets and justifications for new proposals and renewals of grants. Initiates and maintains communication with relevant agencies. Provides consultation services on research strategies, tactics, and tools. Collaborates with multiple departments to gather information necessary to complete grant proposals. Attends meetings with funders to determine the specifics of individual proposals. Provides stewardship to current donors. Maintains current records in database and in paper files, including grant tracking and reporting. Maintains expenses for all government programs, including SFSP/CACFP. Submits monthly government reimbursements. Develops and maintains grant resources for staff and agency partners. Contributes to the creation and maintenance of Standard Operating Procedures for Grants Administration department. Manages confidential information. Performs other duties as assigned. Requirements Requires the ability to multi-task a wide range of projects; ability to manage time and multiple projects efficiently; ability to proofread effectively; ability to work in a team environment yet be self-directed, as required; strong interpersonal skills; ability to manage and meet multiple deadlines. Requires strong familiarity with government and foundation contracts, grant proposal and reporting processes; exceptionally strong organizational, administrative, and analytical skills; strong aptitude for learning new software programs and identifying appropriate software tools to meet organizational skills. Requires excellent written and verbal communication skills, analytical skills, and computational skills at a bachelor’s degree level; excellent attention to detail. Work Environment This position requires sitting, telephone conversations, working indoors in environmentally controlled conditions in close proximity to others requiring contact with others (face-to-face, by telephone, or otherwise). Requires repeating the same physical activities or mental activities over and over. Employee will use computer and phones on a regular basis, and will drive for work performed in the community. Occasional work outside of normal working hours, such as evenings, as well as periodic travel will be required. Qualifications Experience and Education Requires completion of a Bachelor’s degree from an accredited institution, with a concentration in a related field, such as Accounting, or Non-Profit Management, English, Public Health, or Public Administration; minimum of five (5) years of direct operational experience and grants writing/management experience in a related non-profit or governmental setting. Preferred experience in a role administering grants, including budgeting procedures, knowledge of Code of Federal Regulations (CFR) and federal grants/contracting procedures. Combination of education, training and experience that demonstrates the ability to perform the duties of the position will be considered. Skills Basic Skills: Critical thinking, basic math to include adding, subtracting, multiplication and division; ability to read and comprehend instructions, correspondence and emails; strong attention to detail. Strong proof reading and editing skills. Social skills: Strong organizational skills, ability to multi-task while meeting established deadlines. Resource Management Skills: Excellent time management skills; ability to set and meet deadlines, work independently and as part of the Three Square team. Computer Skills: Proficient in Outlook and Windows based computer software, with an emphasis on spreadsheets, word processing and calendaring software.
