JOB OVERVIEW

We are seeking a dedicated and detail-oriented Graduation Services and Warehouse Coordinator to join our busy team and assist with day-to-day tasks in the Warehouse and support other Graduation Services functions.

SKILLS

  • Prior administrative experience (typically 2–3 years) ideally gained in a warehouse or logistics function
  • Strong attention to detail demonstrating the ability to check and follow process instructions.
  • Excellent communication skills to be able to interact with all internal and external stakeholders
  • Strong organisational skills to manage multiple deadlines and tasks
  • Good computer skills, particularly in Microsoft Office Suite (Excel, Word, Outlook).
  • Be willing and enthusiastic about trying new methods of working as Graduation Services continues to develop/accommodate changing business and customer requirements
    Other Information:
    · Hours of work are Monday to Friday: 0700 – 1200 (25 hours per week).
    · Based in Waterbeach.

Responsibilities
  • Liaise with export and shipping companies to ensure on time collection to achieve graduation ceremony deadlines and ensure transport and packing spreadsheet is kept up to date.
  • Work with internal client managers and external couriers to resolve delivery and collection issues.
  • Preparation of ceremony paperwork and files for each month.
  • Respond to emails and enquiries.
  • Support the Warehouse Manager to compile weekly timesheets for temporary workers.
  • Working alongside Warehouse Operatives, pack gowns for graduation ceremonies as and when required.
  • Arranging supplies for office use and distributing mail.
  • Occasional meeting support such as greeting visitors and arranging lunches.
  • Administrative support to business leaders such as data gathering / information for reporting purposes.
