This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Grant Administration Analyst based in the United States. This role plays a key part in supporting the full lifecycle of government-funded grants, combining financial oversight, compliance management, and administrative coordination. You will ensure accurate accounting and reporting across multiple grant-funded projects while maintaining strict adherence to federal and state funding requirements. The position bridges finance, research, and operations teams, helping translate complex regulatory obligations into clear, executable processes. You will oversee budgeting, payroll tracking, and financial reporting while ensuring grant expenditures remain compliant and well-documented. A significant part of the role involves preparing reimbursement requests, audit-ready documentation, and supporting financial submissions to funding agencies. You will also contribute to grant proposal support, contract management, and ongoing compliance monitoring across active awards. This is a highly collaborative role in a mission-driven environment focused on operational excellence and improving outcomes through well-managed funding programs. \n Accountabilities: Manage accounting activities across grant-funded projects, including accounts payable, accounts receivable, and general ledger entries to support accurate financial reporting. Prepare and review payroll and labor distribution data to ensure proper time-and-effort tracking and compliance with funding requirements. Analyze monthly grant expenditures to assess allowability, allocability, reasonableness, and alignment with approved budgets and sponsor rules. Monitor grant budgets, performance periods, and spending trends, identifying variances and supporting corrective actions or budget revisions. Prepare financial reports, reimbursement requests, invoices, and cash drawdowns for submission to government and funding agencies. Support grant setup in accounting systems, including coding structures, budgets, cost centers, and reporting requirements. Maintain audit-ready records and coordinate documentation for compliance reviews, audits, and grant closeout activities. Assist with proposal support, contract tracking, regulatory compliance, and coordination across finance, HR, procurement, and research teams. Requirements: Bachelor’s degree in Accounting, Business Administration, Public Administration, Research Administration, or a related field. 6–8 years of experience in grants administration, financial management, or accounting/bookkeeping, preferably in government-funded programs. Strong understanding of federal, state, or local grant compliance requirements and financial regulations. Experience with accounting systems such as QuickBooks and ERP platforms (e.g., Oracle). Solid knowledge of budgeting, payroll tracking, accounts payable/receivable, and financial reporting processes. Ability to interpret complex regulatory and grant-related documentation and translate it into operational workflows. Strong analytical, organizational, and problem-solving skills with high attention to detail. Excellent written and verbal communication skills with the ability to collaborate across cross-functional teams. Experience supporting audits, contract management, and compliance documentation is highly preferred. Proficiency in Excel and financial reporting tools such as Smartsheet.
