General Description:
We are seeking a highly skilled and knowledgeable Coordinator of the Somerville Partnership for Young Children to support the city’s mixed-delivery system of aligned, accessible early education and care.
The Coordinator of the Somerville Partnership for Young Children manages partnerships, supports program continuous quality improvement, oversees grant and fiscal systems, strengthens partnerships with licensed early education providers, and aligns SPYC’s work with Somerville Public Schools’ priorities and citywide early childhood initiatives.

PREFERRED QUALIFICATIONS

  • Education in Early Childhood Education or a related field
  • Experience with direct service in early childhood and family support programs.
  • Strong skills in program quality assessment tools (e.g., CLASS) and data-informed decision-making.
  • Demonstrated ability to work effectively in diverse communities with multiple stakeholders.

  • Three to five years of experience in early childhood administration, policy, or program coordination.

Responsibilities

DUTIES: GENERAL

  • Serve as the Grant Coordinator for the Department of Early Education and Care (EEC) and as the main point of contact between Somerville Public Schools and EEC.
  • Coordinate with stakeholders, including Lead Agency staff, subcontracted partners, and vendors, to ensure seamless implementation of the Commonwealth Preschool Partnership Initiative (CPPI) grant.
  • Act as the primary point of contact for EEC and facilitate communication with all parties involved. Ensure that stakeholders are engaged in the work and contribute to planning.
  • Ensure grant activities meet all requirements outlined in the CPPI Grant Request for Response (RFR).
  • Organize and lead (or designate a lead for) regular meetings of the strategic leadership team (e.g., quarterly) with key community stakeholders as described below, including district lead agency (LEA) and community-based organizations’ (CBO) leadership, ensuring ongoing planning and collaboration.
  • Organize and lead regular meetings of the operational grant management team (e.g., monthly) with all grant partners including district lead agency (LEA) and community-based organizations’ (CBO) staff, ensuring ongoing collaboration and progress.

DUTIES: PARTNERSHIP ALIGNMENT, PROGRAM QUALITY, AND MTSS COORDINATION

  • Convene and facilitate regular SPYC director meetings, providing technical assistance, collaborative decision-making opportunities, and peer learning.
  • Serve as liaison between itinerant staff and center directors, coordinating the MTSS/Special Education services team to schedule, communicate with partner sites, and ensure the implementation of inclusive practices and service delivery.
  • Collaborate with cross-sector initiatives (Children’s Cabinet, SomerPromise, SFLC, First Five Somerville) to align early childhood priorities and strategies.
  • Participate in strategic planning, quality monitoring, and ongoing needs assessments to inform system improvement.

DUTIES: GRANT DEVELOPMENT, FISCAL MANAGEMENT, AND COMPLIANCE

  • Must attend all relevant EEC trainings and meetings.
  • Responsible for updating any changes to the Contact Information in EEC’s online grant application.
  • Oversee the CPPI grant and related early childhood funding streams, ensuring compliance with all state and local requirements.
  • Must ensure that the grant-funded programs meet all the grant and reporting requirements of the grant throughout the fiscal year.
  • Oversee the programmatic and fiscal monitoring of subgrantees and partners, ensuring adherence to budget and implementation plans.
  • Develop, manage, and monitor annual budgets and expenditures in coordination with the SPS Finance Office.
  • Prepare and submit all budget amendments, fiscal reports, and final financial statements to the Department of Early Education and Care (EEC).
  • Must ensure that the EEC-approved budget(s) are fully expended and accounted for at the end of the fiscal year.
  • Must ensure the timely submission of the Requests for Funds (RFFs), Final Financial Reports (FFRs), and Budget Amendments to EEC.
  • Must manage and monitor all subcontracts and provide reimbursements to subcontractor(s) in a timely fashion.
  • Establish a checks and balances system to ensure funds are used appropriately and invoices are submitted on time.

DUTIES: DATA, QUALITY MONITORING, AND PROFESSIONAL DEVELOPMENT

  • Collect, maintain, and submit all CPPI-required data, including but not limited to family information forms, birth certificates, SASID numbers, CLASS scores, and CQIPs.
  • Maintain timely submission of required reports and ensure compliance with all deadlines (e.g., enrollment reports, quarterly reporting updates, Child Data Spreadsheets/SASID assignments, etc.).
  • Conduct regular monitoring visits, providing feedback and action steps to resolve barriers to implementation.
  • Analyze program and system-level data to identify trends and guide continuous quality improvement efforts.
  • Coordinate professional development for partner directors and educators, including registration, agenda preparation, materials, attendance tracking, certifications, and follow-up.
  • Share training opportunities, grant resources, and EEC-provided supports with partner programs.

DUTIES: COMMUNICATIONS AND FAMILY ENGAGEMENT SUPPORTS

  • Facilitate family engagement and outreach efforts to ensure targeted populations are enrolled and supported throughout the program.
  • Collaborate with family engagement initiatives (e.g., the Coordinated Family and Community Engagement Grant) to strengthen outreach capacity and ensure family involvement in children’s learning and development.
  • Support implementation systems for screening children’s development and health, ensuring a clear referral process that engages families and staff.
  • Develop and distribute monthly SPYC newsletters and other communications to support directors, educators, and partners.
  • Maintain and update the Director Dashboard with calendars, deadlines, and relevant resources.
  • Coordinate translation and interpretation to meet child and family language needs.
  • Oversee the preparation and distribution of Welcome Folders for families entering SPYC programs.
  • Collaborate with the Somerville Family Learning Collaborative (SFLC) to coordinate family engagement workshops and materials.
