REQUIRED QUALIFICATIONS:

  • Associate’s Degree and 2 years of office experience required; experience considered in lieu of education.
  • Ability to multi-task and work independently on multiple projects/priorities with changing deadlines.
  • Ability to build strong working relationships with individuals from diverse backgrounds.
  • Exercise professional discretion when handling confidential information.
  • Proficient in computer software programs including Work, Excel and Outlook and be willing to learn various websites and portals, as needed, for grant submissions.
  • Able to read, analyze, define problems, collect data and draw valid conclusions.
  • Excellent interpersonal and organizational skills; must be proactive and flexible.
  • Strong verbal and written communication skills and able to communicate with all parties in a professional manner.
  • Excellent planning, prioritizing and organizational skills.
  • Eligible to work in the United States.

Primary Job Duties: The primary job duties of the Grants and Contracts Assistant include, but may not be limited to:

  • Assist the Grants and Contracts Administrator and/or research staff with initialization of research study. Provide support in the processing and/or negotiation of CRADA’s, grants, federal prime and subawards, service agreements, contracts and Confidentiality Agreements. Facilitate the processing of amendments, renewals and any item pertinent to the study.
  • Assist in the development of budgets and budget justifications, reviewing for inconsistencies and ensuring accuracy in the calculations and the application of the most current indirect rate.
  • Monitors the study for reporting and/or auditing requirements and produces and submits required documents to the appropriate reporting agencies.
  • Maintain spreadsheets and other tracking documents as assigned and, as required by VA.
  • Creates a Study Information Sheet for administrative processing and assembles the study package for the electronic study file. Organize and maintain paper files; check current files for completeness.
  • Maintains electronic files for active, pending, inactive and terminated studies, and relevant documents and/or emails as needed.
  • Assist with updating and maintaining the current Pending Project List and provide to the IMR Administrative Staff on a monthly basis.
