Description

The Grants and Operations Manager plays a pivotal role in efficient post-award management of federal grants while overseeing corporate operations. This multifaceted position requires a blend of financial, administrative, and communication skills. The primary responsibility which will encompass most of the position’s effort is in management of federal grants from the NIH and NSF. The person in this position will work as the primary interface between the Chief Operating Officer and the NHAS bookkeeper.

QUALIFICATIONS:

  • Experience: Expertise in post-award management of federal grants from NIH and NSF is required with at least 3 years of experience complying with the Uniform Guidance for Federal Awards.
  • Experience in non-profit financial management highly desirable.
  • Computer skills: Familiarity with MS Office especially the use MS Excel required. Familiarity with QuickBooks Online, Monday.com, and Gusto is desirable.
    Compensation: This is a $30/hr part time position without benefits.
    Work Load: ~10 hrs/week à 400 to 450 hrs/per year

Responsibilities
  • Federal Grant Post-Award Management:
    o Manage NIH and NSF grant performance, ensure compliance with Uniform Guidance for Federal Awards
    o Support Principal Investigators in the submission of annual reports.

o Conduct post-award reviews to identify management, financial, and administrative issues.

  • Financial Oversight and Federal Grant Management:
  • Track spending against federal grants.
  • Coordinate flow of financial information between the Principal Investigators and the NHAS bookkeeper.
  • Work with federal grant Principal Investigators to clarify grant-related issues and help resolve federal queries.
  • Work with treasurer and bookkeeper to prepare quarterly and annual financial reports.
  • Help ensure accurate bookkeeping records are provided to the NHAS CPA for annual IRS 501c3 990 tax report.
  • Work with bookkeeper and Principal Investigators to complete monthly federal grant drawdowns (reimbursements) using ACM$ and PMS.
  • Managing financial benefits and insurance packages.
  • Manage and file 403(b) annual reports to our retirement investment company (Human Interest).
  • Provide accurate employment data for workers compensation insurance.
  • Operations Management:
  • Oversee the work of Principal Investigators to ensure compliance with federal deadlines.
  • Budget Management:
  • Occasionally work with our finance committee and the bookkeeper to help create budget reports for quarterly NHAS board meetings.
  • Support employees in following grant budget and federal guidelines.
  • Track private grant spending and generate financial component of annual reports when needed.
