Description

We are seeking a dedicated, detail-oriented Groceries Billing & Customer Service Representative to join our team. This role combines customer service excellence with billing accuracy, ensuring a seamless experience for our grocery customers. The successful candidate will be responsible for assisting with grocery orders, generating and verifying invoices, managing payment records, resolving billing issues, and maintaining organized customer accounts.

QUALIFICATIONS:

  • Diploma or equivalent; additional education is a plus.
  • Previous experience in customer service, preferably in retail or grocery sectors.
  • Strong communication skills, both verbal and written.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Experience in using D365 in strongly preferred.
  • Strong problem-solving skills and a customer-focused mindset.
  • Ability to work flexible hours, including weekends and holidays.

SKILLS:

  • Excellent verbal and written communication skills. Have to be bilingual, fluent in english and mandarin.
  • Strong attention to detail for accurate accounting entries and invoice creation.
  • Solid organisational skills to manage multiple customer accounts and invoices simultaneously.
  • Great customer service and interpersonal skills to maintain positive client relationships.
  • Ability to manage emails, maintain accounting books, and perform general administrative duties.
  • Knowledge of data entry practices for accurate record-keeping.
  • Strong problem-solving skills and the ability to work both independently and collaboratively.
  • Flexibility to work varied shifts, including weekends and holidays.

Responsibilities
  • Assist customers with placing and modifying grocery orders via phone, email, or chat.
  • Provide prompt, accurate information about product availability, pricing, promotions, order status, delivery times, and returns.
  • Handle customer complaints and resolve issues professionally and efficiently.
  • Create invoices for incoming grocery orders, including calculation of additional charges such as shipping costs.
  • Ensure that all invoices sent to customers are accurate and complete.
  • Follow up on outstanding payments to ensure timely collection.
  • Prepare and send account statements to customers regularly.
  • Resolve billing errors flagged by customers or internal staff in a timely manner.
  • Keep detailed and organised records of customer payments and information.
  • Collaborate with financial staff, including Accountants and Bookkeepers, to ensure cohesive financial reporting.
  • Perform administrative duties such as auditing customer records and managing customer account files.
  • Stay up-to-date with current promotions, new products, and company policies.
