Job Title: Group Secretariat Officer
Location: Wheatley Solutions, Governance Division
Grade: SCP 31-34 (£40,391-£43,995)
Status: Permanent
Wheatley Group is seeking a dedicated and detail-oriented Group Secretariat Officer to join our Governance team. The successful candidate will play a key role in ensuring seamless company secretarial support and championing the provision of high-quality, excellent, and efficient secretariat support within the Group governance team. You will assist in maintaining high standards of governance and ongoing compliance with all best practices and statutory requirements.

Responsibilities

KEY RESPONSIBILITIES:

  • Provide effective governance and corporate secretariat support to the Group and subsidiary Boards and Committees, Group Executive Team, and managers across the group.
  • Arrange meetings, prepare and issue Board packs, draft agendas, prepare skeleton minutes, and manage action lists.
  • Review Board reports to ensure they adhere to regulations and internal policies, identifying key issues and escalating as required.
  • Liaise directly with Board members and Directors for updates on papers or actions.
  • Assist with the planning of Annual General Meetings, including arranging meetings, preparation and issue of meeting notices and supporting papers, attending and minuting meetings, maintaining attendance registers, and following up action lists.
  • Contribute to the development and implementation of corporate governance strategies and policies, including managing governance-related risks and corporate projects.
  • Act as the first point of contact for governance enquiries, resolving promptly and coordinating with relevant colleagues as appropriate.

What we are looking for:

  • Experience working in a busy company secretarial department (essential)
  • Proven ability to manage schedules, prepare agendas, and maintain statutory registers.
  • Strong verbal and written communication skills to liaise effectively with Group Executive, Board Members, Shareholders, and external regulators.
  • Experience in balancing workloads and coordinating with others to achieve priorities and objectives.
  • Track record of working to deadlines with high accuracy to ensure compliance with legal requirements.
  • Understanding of corporate law and governance regulations.
  • Familiarity with filing necessary documents with regulatory bodies and ensuring adherence to governance policies.
  • Experience in organising and supporting board and committee meetings, including drafting minutes and distributing relevant meeting materials.
