Description
Company Description The Hoxton, Charlottenburg (Berlin) - Groups & Events Coordinator Our Berlin home features 234 bedrooms, a lively bar, and The Apartment – our unique meetings and events concept designed for creative gatherings and brand experiences. We are now looking for an experienced Groups & Events Coordinator to join our team and support the continued growth of our groups and events business. Reporting to the Groups & Events Manager, you will play a key role in driving revenue through the reactive (and occasional proactive) management and conversion of group, meeting and event enquiries. More about us... The Hoxton is a series of open-house hotels, each in a neighbourhood that we love. Ever since we opened our first hotel in Shoreditch, we’ve never just been about offering a bed for the night. We want to be more than that: proving style doesn’t need to be sacrificed for good value and providing a place where guests can hang out alongside the locals and submerse themselves in the neighbourhood with vibrant, welcoming public spaces. Job Description What you’ll do Own and manage your Groups & Events enquiries from first contact through to execution — handling calls and emails, responding promptly and ensuring every client receives a memorable first impression of The Hoxton and Ennismore. Manage your own booking pipeline, from proposal creation and contract management through to rooming lists, detailing and final invoicing. Build strong relationships internally and externally, always keeping the guest experience at the heart of everything you do. Coordinate all aspects of confirmed meetings and events with operational teams, ensuring expectations are clear, documented and delivered. Prepare and distribute weekly function sheets and confidently present them in the weekly operations meeting. Conduct on-property show rounds and client planning meetings. Proactively build long-term client relationships, identifying opportunities for repeat business and tracking year-on-year trends. Oversee key administrative elements including deposits, billing, and actualising events accurately in the system. Qualifications What we’re looking for… Previous experience within hotel Groups & Events, or Reservations — you’re confident managing bookings and ready to take ownership of your own groups. Someone with seriously strong attention to detail who thrives on staying organised in a fast-paced environment. You speak German and English fluently; any other languages are a plus. Confident using systems such as Outlook, Excel and Word (experience with OPERA and/or Delphi is a plus). A natural relationship builder — you’re professional, personable and know how to build trust with both clients and internal teams. Calm under pressure, solutions-focused and able to juggle multiple priorities without dropping the ball. Not precious — we leave egos at the door and step in to support each other when it counts. Motivated, proactive and excited to be part of a team that works hard, collaborates openly and enjoys what they do. Additional Information What’s in it for you: The opportunity to join an innovative, fast-growing, international group that’s committed to not just building new hotels but building a global brand. 24 holidays (plus bank holidays) and extra time off to volunteer with one of our partner charities. A competitive package, plenty of opportunity for development and rewards for going the extra mile and living our values. The chance to challenge the norm and work in an environment that is both creative and rewarding. Become part of a team that’s very passionate about creating great hospitality experiences and building a portfolio of brands. Enjoy a free night at The Hoxton and a meal for two when you first start with us. Great discounts across the entire Ennismore family. Lots of opportunity to progress and switch it up as part of a global family of brands. Regular team get togethers, from our team drinks to our (pretty special!) bi-annual parties – we know how to have a good time! An annual diversity and inclusion calendar of events creating opportunities for you to learn, celebrate and make a positive impact. We’ve got your commute covered — no stress getting to work. Meal vouchers and our Pluxee Benefit card to keep you fuelled while on shift. Get in touch with experts from OpenUp to balance work and life or any other mental-wellbeing related topic. Enjoy lots of Discounts through our Corporate Benefits Discount webpage. Job-Category: Sales & Marketing Job Type: Permanent Job Schedule: Full-Time
