THE HOXTON, CHARLOTTENBURG (BERLIN) – GROUPS, MEETINGS & EVENTS COORDINATOR

The Hoxton take on Europe! We’re popping up in some of our favorite cities and in 2023 we’ve opened our first hotel in Germany in the city of culture and creativity, Berlin. We are now looking for a Groups, Meetings & Events Cooridnator to join our Sales team and play a crucial part in the success of our brand.
Our first Hoxton in Germany is home to 234 bedrooms of varying sizes, a ground floor restaurant and bar, coffee bar and streetside terrace and The Apartment – our unique meetings and events concept.
Reporting to our Director of Sales, you’ll be a key player and support to our Sales team by handling admin, systems and everything in between to drive the conversion of enquiries & planning of meetings, events & group accommodation bookings. Your main focus will be groups & events but you’ll also get to work on other segments supporting negotiated and proactive sales as required. It’s a great opportunity to join a fast paced team with big ambitions.

WHAT WE’RE LOOKING FOR



    • Experience working within hotel sales, reservations or a similar role; you’re looking for an opportunity to take the next step into a career in Groups & Events Sales

    • Someone who is proud of their OTT attention to detail and knows how to stay organised while working at a fast pace
    • You’re confident using systems such as Outlook, Excel, Microsoft word, (experience using OPERA or Delphi would be an advantage)
    • A people person, great at building strong and lasting relationships
    • You’re looking for a challenge and a place where you can be you (no clones in suits here)

    Responsibilities


      • Keep things running smoothly by supporting our reactive Groups & Events sales team: Manage an inbox and phone system, answering calls and emails, distributing enquires, ensuring a quick response time & memorable first impression of The Hoxton and Ennismore

      • Build strong relationships with our other teams and external third parties, keeping the guest experience at the heart of everything you do
      • Provide support to the Event Teams by handling small & medium requests and manage the booking process from start to finish: from initial proposals, managing contracts, rooming list and invoicing
      • Following up with clients post event to get feedback and secure repeat business where possible.
      • Manage the preparation and distribution of function sheets on a weekly basis and present function sheets in the weekly operations meeting.
      • Conducting show arounds on property.
      • Building good relationships with clients for repeat business, contacting and probing repeat clients when appropriate and track year on year trends and events to support repeat business.
      • Effectively co-ordinating activities related to booked meeting & event business with other departments, ensuring client’s expectations are met by maintaining team communication.
