Description

JOB DESCRIPTION:

Do you thrive in a fast-paced environment, love connecting with people, and have a knack for details? Kelowna Concierge, the Okanagan’s premier transportation and event services company, is hiring! We’re looking for a full-time Guest Experience & Operations Coordinator to join our team at the Kelowna International Airport (YLW) and beyond.
This is the perfect role for someone eager to build a career in hospitality while working in a dynamic, guest-facing environment with plenty of variety throughout the year.

Responsibilities

ABOUT THE ROLE:

As our Guest Experience & Operations Coordinator, you’ll be one of the first friendly faces guests meet upon arrival in the Okanagan. You’ll ensure their experience is seamless from the airport to their destination while supporting the coordination of daily operations behind the scenes.
In the winter, your focus will be on airport transfers and ski shuttle logistics. In the summer, you’ll transition into supporting events, private wine tours, and broader transportation services. This is a hands-on role that combines guest services with operational coordination, making it diverse, rewarding, and central to our team’s success.

KEY RESPONSIBILITIES:

  • Greet and assist arriving guests at the Kelowna International Airport with warmth and professionalism.
  • Provide concierge-style service by assisting guests with questions about the Okanagan, activities, and partner experiences.
  • Manage and respond to client inquiries and booking requests via email and phone in a timely, professional manner.
  • Coordinate daily shuttle schedules and tour logistics, ensuring smooth communication between guests, drivers, and the office team.
  • Monitor flight arrivals and proactively adjust plans to accommodate delays or early arrivals.
  • Support event and tour operations, including group itineraries and on-the-ground logistics.
  • Maintain accurate records of bookings, schedules, and guest interactions.
  • Assist management with operational reporting and continuous improvement initiatives.
