SUMMARY: Night Auditors serve a dual role as both front desk representatives and overnight accounting specialists. They are responsible for providing guest assistance during late-night hours, including check-ins, check-outs, payment collection, and PBX operation. In addition to guest service functions, Night Auditors complete the daily financial reconciliation of the property management system, ensuring accuracy of room, tax, and incidental postings. They prepare and distribute end-of-day reports, identify and correct discrepancies, and secure financial records in accordance with company policies. Night Auditors must be able to work independently with minimal supervision, balancing strong customer service skills with attention to detail and accuracy in auditing functions. ESSENTIAL DUTIES AND RESPONSIBILITIES: This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time. Provide guest assistance in person and by phone during overnight hours. Process check-ins and check-outs efficiently and accurately. Collect payments and secure deposits following PCI compliance. Perform PBX operation: answer, transfer, and log calls professionally. Respond to guest requests and initiate basic service recovery efforts for overnight complaints. Maintain a safe and welcoming lobby environment during overnight hours. Balance daily transactions in the Property Management System (Visual One). Reconcile credit card transactions and ensure totals match processor reports. Post room, tax, and any outstanding charges to guest folios. Prepare, print, and distribute end-of-day and shift reports to management. Identify, document, and correct discrepancies in accounts. Secure all sensitive financial documents in accordance with company policies. Stock supplies and maintain cleanliness of the front desk and lobby areas. Prepare materials for the following day’s arrivals. Monitor occupancy, arrivals, and departures for accuracy in reports. Communicate overnight incidents or guest issues in shift reports. All other duties as assigned by management EDUCATION and/or EXPERIENCE: Level 3 High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience. LANGUAGE SKILLS: Level 3 Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. MATHEMATICAL SKILLS: LEVEL 3 Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. REASONING ABILITY: LEVEL 3 Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
