Group Rooms Coordinator
Delta Hotels by Marriott Dartmouth is a full-service property located in the Burnside / City of Lakes Business Park. A corporate class hotel that provides modern design, incorporating pride of place, the amenities today’s traveler requires and an ethos of exceptional guest service. We are currently seeking a Group Rooms Coordinator to join our team.
Reporting to the Director of Sales and the Guest Services Manager, the successful candidate will be responsible for assisting the sales and front office team in coordinating group room reservations while achieving all Sales and Front Office goals. The coordinator will embody excellent customer service and will work hand and hand with their team.
Our ideal candidate is a motivated, detail orientated and organized individual, with a strong work ethic and the ability to excel in a face-paced environment. Must possess critical thinking skills to tactfully and quickly resolve and defuse guest concerns and ensure the appropriate follow up.

Responsibilities
  • Process all group turnovers, taking ownership over group communications, creating group rate code, verify cut-off date, and verifying room block and rate information from booking recap.
  • Maintain ownership of group blocks, including reservation methods, billing, and proper treatment of VIP guests.
  • Communicate all group activity to Guest Service Manager and Sales Team.
  • Be proficient in all areas of reservations and general operations of the hotel.
  • Ensure rate information, advance deposit, and cancellation policy are set up for quoting to guests.
  • Take in-coming reservation queue calls and non-queue calls, process Internal, WRO, Trust and FIT Reservations
  • Managing group inventory daily and keeping the Guest Service Manager and Revenue team updated.
  • Generating reports through Opera PMS and CI systems for weekly meetings with Sales & Revenue teams.
  • Generating weekly Cut-off date reports for the Sales team
  • Timely follow ups with all the clients that the Sales team gets you acquainted with, ensuring the correct information is passed along.
  • Configuring rate codes for all the new group blocks.
  • Daily updating the pick-up and projections for all the group blocks arriving within 90-day forecast.
  • Completion of all the rooming list received from the Sales team in a timely manner maintaining the accuracy.
  • Such other similar or related duties as may be required from time to time.
