  • Proficiency with office software (Word, Excel, etc.); prior Camp Brain experience not required—training provided.
  • Willingness to assist hands-on in hospitality tasks as needed (room set-up, housekeeping, etc.).
  • Experience in hospitality, guest services, or camp ministry preferred.

By owning the Camp Brain system and using it to streamline group rentals and camper registration, the Guest Services & Registrar Coordinator plays a vital role in advancing the ministry of Cedar Canyon Camp.

Responsibilities

PURPOSE

The Guest Services & Registrar Coordinator provides both relational hospitality for rental groups and administrative leadership for camper registrations at Cedar Canyon Camp (CCC). This position takes ownership of the Camp Brain software to ensure a seamless, user-friendly experience for both guest group leaders and camper families. Through excellent customer service, organization, and attention to detail, this role strengthens CCC’s ability to provide a Christ-centered camp and retreat environment.

Status: Full Time, Exempt

GUEST SERVICES (RENTAL GROUPS) RESPONSIBILITIES

  • Serve as the primary point of contact for rental group leaders from inquiry through event completion.
  • Use Camp Brain to manage group reservations, contracts, invoicing, and communication.
  • Coordinate housing, meeting space, meals, and activity schedules for groups.
  • Ensure excellent guest experiences by anticipating needs and providing timely support.
  • Partner with the Executive Director and Marketing Director to assist in marketing CCC facilities to new rental groups and steward relationships with existing ones.
  • Supervise and support housekeeping and hosting staff to maintain a clean, welcoming environment.
  • Manage group evaluations and provide feedback to leadership for ongoing improvements.

REGISTRAR (PROGRAMMED CAMPS & RETREATS) RESPONSIBILITIES

  • Oversee registration for all CCC-programmed camps and retreats through Camp Brain.
  • Provide excellent customer service to families registering campers, assisting with questions, forms, payments, and deadlines.
  • Maintain accurate camper records, housing assignments, and activity scheduling.
  • Prepare and distribute confirmation materials, rosters, reports, and billing statements.
  • Work with program staff to ensure registration details align with camp logistics and capacity.
  • Track registration data and provide analysis to assist with planning and budget forecasting.
  • Communicate with parents and participants before, during, and after camp to ensure a smooth experience.
