OVERVIEW

The Head Administration position is a vital role within our organization, responsible for overseeing the administrative functions that support our operations. This role requires a detail-oriented individual with strong organizational skills and a commitment to providing excellent customer service. EXPERIENCE

  • Proven experience in an administrative role, preferably within a medical or dental office setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with QuickBooks for bookkeeping and financial management is highly desirable.
  • Strong computer skills with the ability to learn new software quickly.
  • Excellent organizational skills with attention to detail in all tasks performed.
  • Previous experience in customer support or service roles is beneficial.

Responsibilities
  • Manage daily office operations, ensuring a smooth workflow and efficient processes.
  • Oversee data entry tasks for various piano moves and maintain accurate records in QuickBooks and other relevant software.
  • Provide clerical support, including filing, typing, and proofreading documents.
  • Handle customer service inquiries, offering support and assistance to clients as needed.
  • Operate multi-line phone systems with professionalism and effective phone etiquette.
  • Coordinate front desk activities like plotting the route for the crew, sending the start time for team in the group chat and co-ordinating with crew when they are on the way.
  • Maintain organized filing systems for easy retrieval of information.
  • Assist with bookkeeping tasks as required, ensuring financial records are up-to-date.
  • Collaborate with team members to improve administrative processes and enhance overall efficiency.
