Description Job Purpose The Head of Facilities and Capital Project Delivery provides strategic and enterprise-wide leadership for Oakmont’s facilities operations and capital project portfolio. This role is accountable for long-term facilities planning, capital strategy, budget oversight, risk management, and ensuring successful delivery of construction and expansion initiatives across the network. Reporting to the President, the Head establishes vision, standards, and performance expectations for facilities operations and capital project delivery. This role oversees the execution of projects through direct leadership of facilities and capital project staff, ensuring alignment with Oakmont’s growth strategy, financial objectives, and educational standards. The position focuses on portfolio oversight rather than day-to-day project management, ensuring that systems, governance, vendor partnerships, and internal accountability structures support scalable growth. Initial Focus & Success Measures (First 12–18 Months) · Successfully oversee delivery of planned new school facilities through effective leadership of capital project staff and external partners · Establish clear accountability structures for capital project delivery that enable operational leaders to focus on core responsibilities · Improved responsiveness and consistency in facilities support across all schools, with defined service-level expectations for urgent and non-urgent needs · Schools report strong confidence in facilities communication, follow-through, and project transparency. · More efficient facilities and vendor management processes that improve service quality, cost control, and scalability. · Evaluation and recommendation of a centralized ticketing/work-order system to support visibility, responsiveness, and data-driven decision-making. Key Responsibilities Construction Project Management · Establish capital project strategy aligned with Oakmont’s growth plans. · Approve project scopes, budgets, and high-level schedules. · Oversee capital project execution through direct leadership of the Capital Projects Manager/Director. · Monitor portfolio-level risk, budget adherence, and timeline performance. · Serve as executive escalation point for major construction risks or disputes. · Present capital updates, risks, and recommendations to executive leadership and school boards. · Ensure projects align with Oakmont design standards, educational goals, and financial parameters. · Partner with Finance on capital forecasting, funding strategy, and multi-year planning. Facilities & Maintenance Oversight · Lead and develop a direct report responsible for day-to-day facilities operations across the network. · Provide strategic direction and performance oversight to facilities leadership responsible for daily maintenance operations. · Establish service standards, KPIs, and accountability measures across all campuses. · Oversee facilities operating budgets and long-term capital reserve planning. · Own and manage facilities operating budgets, ensuring responsible spending and financial discipline. Ticketing & Service Management · Establish and monitor performance metrics for the centralized ticketing/work-order system. · Ensure data insights inform staffing, budgeting, and service-level improvements. · Hold facilities leadership accountable for meeting defined service-level standards. Vendor & Contractor Coordination · Manage vendor relationships and ensure contract adherence, service quality, and competitive pricing. · Lead bid processes for services such as landscaping, cleaning, HVAC, or security. · Ensure all vendors comply with safety standards and background requirements. Compliance & Safety · Ensure systems are in place for compliance with local, state, and federal facility requirements. · Oversee audit readiness and compliance reporting. · Monitor safety risk mitigation strategies across campuses. Operational Support · Support building readiness, seasonal maintenance planning, and operational setup. · Partner cross-functionally with HR, IT, Academics, and Finance to support school operations. · Contribute to long-term facilities and capital planning for Oakmont’s growth. Qualifications & Experience ? 5+ years of experience in facilities management, construction management, school operations, or a related field. ? Demonstrated experience leading capital projects and supervising maintenance teams or contractors. ? Strong working knowledge of building systems and preventative maintenance. ? Experience using ticketing or work-order systems. ? Excellent communication, organization, and stakeholder management skills. ? Ability to manage multiple sites and travel regularly. ? Proficiency in using ticketing or work-order systems (e.g., ClickUp, Zendesk, FMX). ? Excellent communication and customer service skills. ? This requires regular travel to school locations across the Oakmont network and occasional visits to construction sites during various phases of work. The work environment may involve exposure to outdoor weather conditions, mechanical rooms, and active facilities or construction areas. Site visits may include uneven surfaces, noise, dust, and other conditions typical of operational school facilities or construction environments. Work hours are generally aligned with standard business hours; however, flexibility is required to address urgent facility issues, project milestones, inspections, or emergency situations that may arise outside of normal hours. Physical Requirements The physical demands described below are representative of those required to successfully perform the essential functions of this role: Ability to frequently move between school buildings, construction sites, and outdoor areas. Ability to stand, walk, and navigate facilities and job sites for extended periods. Ability to occasionally climb stairs, ladders, or access mechanical spaces. Ability to visually inspect buildings, construction progress, and equipment. Ability to occasionally lift, carry, or move items weighing up to 25 pounds.
