We are seeking a proactive, organized, and detail-oriented Facilities Officer to support the effective management of workplace facilities, building operations, maintenance activities, vendors, and office services. This role will ensure that facilities remain safe, functional, efficient, and well maintained while supporting employees and business operations.

🎯 Key Responsibilities

• Support the day-to-day management and operation of office buildings, facilities, and workplace environments.

• Coordinate preventive and corrective maintenance activities for building facilities and equipment.

• Monitor the condition and performance of workplace infrastructure and identify maintenance requirements.

• Coordinate with external contractors, vendors, service providers, and maintenance teams.

• Arrange repairs and maintenance for electrical, plumbing, air-conditioning, lighting, security, and other building systems.

• Conduct regular facility inspections to identify safety hazards, maintenance issues, and improvement opportunities.

• Maintain records of maintenance activities, service requests, inspections, and contractor performance.

• Monitor facilities-related service levels and ensure work is completed according to agreed standards.

• Support the management of cleaning, security, landscaping, pest control, waste management, and other workplace services.

• Coordinate office space, meeting rooms, workstations, and common facilities.

• Assist with office moves, relocations, renovations, refurbishment, and workplace improvement projects.

• Monitor workplace health, safety, and environmental requirements.

• Support emergency preparedness, evacuation procedures, and business continuity activities.

• Ensure facilities comply with company policies, safety requirements, and applicable regulations.

• Manage facility-related service requests and respond promptly to employee and stakeholder concerns.

• Assist with vendor selection, quotation requests, purchase orders, and facilities-related procurement activities.

• Monitor facilities budgets, maintenance costs, invoices, and operational expenses.

• Support cost-control initiatives and identify opportunities to improve operational efficiency.

• Maintain asset records, equipment inventories, and facilities documentation.

• Coordinate access cards, keys, parking arrangements, and other workplace access requirements where applicable.

• Support the management of office supplies, furniture, fixtures, and workplace equipment.

• Prepare facilities reports, maintenance updates, expense summaries, and operational dashboards.

• Monitor contractor performance and ensure vendors comply with safety and service requirements.

• Assist with workplace improvement, sustainability, energy-saving, and environmental initiatives.

• Work closely with Administration, HR, Finance, Procurement, Security, IT, and other internal departments.

• Support facilities projects and continuous-improvement initiatives to enhance workplace operations and employee experience.

✅ Requirements

• Proven experience in Facilities Management, Building Operations, Workplace Management, Property Management, Administration, or a related field.

• Experience coordinating building maintenance, repairs, contractors, and workplace services.

• Basic knowledge of building systems such as HVAC, electrical, plumbing, lighting, fire safety, and security systems.

• Strong ability to coordinate multiple maintenance activities, service requests, and vendors simultaneously.

• Experience conducting facility inspections and identifying maintenance or safety issues.

• Good understanding of workplace health and safety requirements.

• Strong organizational, planning, and time-management skills.

• Excellent communication and stakeholder-management abilities.

• Ability to work effectively with contractors, service providers, employees, and internal departments.

• Strong problem-solving skills and ability to respond effectively to urgent facility issues.

• Experience managing maintenance records, work orders, invoices, budgets, and facilities documentation.

• Knowledge of vendor management, procurement processes, and service contracts is an advantage.

• Strong attention to detail and commitment to workplace safety and service quality.

• Proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and facilities or maintenance-management systems is an advantage.

• Familiarity with CMMS, CAFM, building management systems (BMS), or other facilities-management platforms is an advantage.

• Experience supporting office relocations, renovations, workplace projects, or space planning is preferred.

• Knowledge of sustainability, energy management, and environmental practices is an advantage.

• Ability to work independently while collaborating effectively with cross-functional teams.

• Diploma or Bachelor’s degree in Facilities Management, Building Services, Engineering, Property Management, Business Administration, or a related field is preferred.

• Professional certifications in Facilities Management, Occupational Safety, Building Services, or Property Management are an advantage.
