The Head Receptionist is responsible for leading and coordinating the front desk team, ensuring smooth and efficient day-to-day operations. This role combines high-level customer service with administrative and supervisory responsibilities. The ideal candidate will be professional, organized, and able to handle multiple tasks in a dynamic environment, with prior experience and strong knowledge of private healthcare systems, protocols, and patient expectations.
Key Responsibilities:
- Leadership & Supervision:
- Supervise, train, and support reception staff
- Schedule shifts and ensure appropriate desk coverage
- Front Desk Operations:
- Greet and assist visitors, clients, or patients in a professional manner
- Manage incoming calls, emails, and correspondence
- Oversee appointment scheduling systems or booking software
- Ensure the reception area is tidy, well-stocked, and welcoming
- Administrative Duties:
- Handle confidential documentation and maintain records
- Assist with billing, invoicing, or payment processing (if applicable)
- Coordinate with internal departments to relay messages and schedule meetings
- Generate daily/weekly reports and submit to management as required
- Customer Service & Conflict Resolution:
- Resolve complaints or escalate issues appropriately
- Maintain high levels of customer satisfaction
- Ensure reception protocols are followed consistently
- Compliance & Policies:
- Ensure adherence to workplace policies, safety, and confidentiality standards
- Maintain compliance with any regulatory requirements relevant to the organization
Required Skills and Qualifications:
- Proven experience as a receptionist, front office representative, or similar role
- Minimum [3–5] years in a supervisory or senior receptionist role
- Proficiency in MS Office and [booking/scheduling software if relevant]
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
