SUMMARY/OBJECTIVE:

Primarily responsible for leading Confluent Health’s processes for releasing medical record information to our patients, insurance agents, health care institutions, attorneys, etc., in accordance with Federal and State laws. This role will onboard, oversee and manage any vendors engaged to release protected health information according to established policies and procedures. Drives consistent release of medical record information processes across all Confluent Health outpatient physical therapy locations. Assists with other compliance related functions within the compliance department as directed or needed.
Schedule: Full-time position - 40 hours/week Monday through Friday, Day Shift.
This is a remote position.

Responsibilities

ESSENTIAL FUNCTIONS

  • Implement processes to ensure requests for protected health information from patients, family members, insurance companies, attorneys, court orders/subpoenas, physicians and/or their office staff, other health care facilities and other third parties are released in accordance with state and federal laws as well as Confluent Health policies.
  • Collaborate effectively with outpatient physical therapy partners to migrate existing health information management towards a consistent process.
  • Submits requests to medical records vendor for processing as needed.
  • Collaborates with appropriate functional departments and staff to investigate and resolve issues related to documents such as accounting for disclosures, record retention, etc.
  • Maintain an organized view of medical records stored across the organization.
  • Monitors key performance reports to ensure vendor accountability, compliance with HIPAA timelines for release of medical records and prompt resolution of deficiencies.
  • Attends all meetings with vendor to monitor volumes, turnaround times, and other key metrics to ensure vendor consistently meets established service levels.
  • Shares results from vendor reports with leadership.
  • Works collaboratively with vendors to ensure optimization of technical systems that support ROI operations and excellence in customer service.
