Job Summary The HIM Technician Specialist supports the Health Information Management department by maintaining both paper and electronic health records with accuracy, timeliness, and adherence to hospital policies, regulatory requirements, and HIPAA privacy standards. Primary responsibilities include chart analysis, scanning, release of information, physician communication, and data management. The specialist serves as a knowledgeable resource in HIM systems and workflows, often assuming leadership within specific functional areas. Essential Functions Perform rounding to collect discharged patient charts and reconcile with discharge logs. Prep, scan, index, and quality-check medical records into the EMR system in a timely and accurate manner. Analyze medical records for completion and assign/reassign provider deficiencies per facility policy and regulatory standards. Handle and process requests for patient medical records in accordance with HIPAA regulations. Assist physicians with record completion processes and monitor for compliance with documentation timeliness. Retrieve, sort, and manage patient medical records and related correspondence. Maintain logs, track deficiencies, and generate reports as directed. Provide support for chart assembly, data abstraction, and HIM-related audits. Participate in department meetings and performance improvement initiatives. May serve as primary or backup for specific HIM functions as designated by management. Knowledge/Skills/Abilities/Expectations Familiarity with HIPAA and healthcare privacy requirements. Knowledge of medical terminology and the structure of medical records. High attention to detail, accuracy, and ability to meet deadlines. Competence in using electronic health records, document imaging, and office software. Strong interpersonal, communication, and customer service skills. Ability to work independently and adapt in a high-volume, time-sensitive environment. Capable of multitasking and prioritizing workload effectively. Education High School Diploma or GED (Required) Medical terminology training (Preferred) Licenses/Certifications None required Experience Three (3) years of experience in Health Information Management functions (Required) One (1) year experience in chart analysis (Preferred)
