Description Maintains patient medical records in a computerized environment. Serves in the capacity of clerical support staff to all departments in order to facilitate delivery of health care services. Relies on instructions and pre-established guidelines to perform the functions of the job. DUTIES AND RESPONSIBILITIES: INFORMATION and RECORDS REQUESTS: Takes phone calls from other facilities, doctors or patients needing specific information, gives information over phone, faxes or mail as appropriate. Assists patients who come to the door requesting records by having them fill out a request form, forwards signed form to Release Specialist for processing. Refers insurance company and attorneys’ offices calls for medical records to Release Specialist. Release Specialist duties are assigned to a member of the Medical Records team; these duties include fulfillment, billing, and documentation of these types of requests. Retrieves documentation from designated areas throughout clinical areas and lab for scanning. Scans patient information sheets and insurance forms. Scans paper reports from outside facilities (consults, hospital reports, etc.) or internal forms/reports that are sent for scanning into electronic medical records. Reviews data for accuracy. Presorts mail, runs postage machine to affix postage to all outgoing mail. Prepares packages for sending via US mail, UPS or Federal Express as requested. Distributes incoming faxes from main fax to all staff, either electronically or on paper, as appropriate. Transmits outgoing faxes for staff/departments as requested. PERFORMANCE STANDARDS: Works as a team player with co-workers, demonstrating professionalism and respect. Is dependable, honest, and courteous. Able to work efficiently and multi-task with accuracy in performance of job duties. Works well under pressure, with a positive mental attitude. Has good communication skills and people skills. Demonstrates commitment to job duties according to procedures and efficient time utilization. Is willing to work extra hours when needed, and is flexible in scheduling for coverage of department. Is prompt and arrives at work on time, schedules lunches and breaks cooperatively with co-workers. Requirements REQUIRED QUALIFICATIONS: Basic computer and keyboarding skills, ability to learn new programs and functions and adapt to change. Ability to work professionally under pressure and multi-task simultaneously. Willingness to be a team player. DESIRED SPECIAL QUALIFICATIONS: 1-2 years of experience in medical office or related field, with knowledge of commonly-used concepts, practices, and procedures within the health care environment. Medical terminology helpful.
